Job Title: Transcriptionist

100% Remote Position as per Hawaii Timings

Part Time 15-20 hours per week


Job Summary :

The Client is a public body corporate and politic and an instrumentality and agency of the State of Hawaiʻi, and is administratively attached to the Hawaiʻi Department of Business, Economic Development, and Tourism. Client seeks qualified temporary employees to assist Client transcribe back logged meeting minutes and related tasks.

Job duties: Transcription services for board meeting minutes

Equipment to be used: Computer, keyboard, and/or laptop

Minimum knowledge, skills and education and/or experience:

Experience in transcribing board meeting minutes from video/audio recording

Minimum computer software skills/ knowledge to be used: Microsoft Word and Excel proficient

Hours of Work: 140 hours total to complete all assigned task, sets their own hours provided that they meet deadlines for completion set by agency

Expected length of Assignment: 15-20 hours per week

Responsibilities

• Transcribe meeting minutes from audio recordings, notes, or drafts.

• Ensure accurate capture of discussions, decisions, motions, and action items.

• Proofread and edit minutes for grammar, clarity, consistency, and formatting.

• Verify accuracy of names, dates, agenda items, and vote results.

• Format minutes using approved templates or style guidelines.

• Save, label, and organize documents in designated folders or shared drives.

• Maintain version control for draft and final documents.

• Communicate with staff to clarify unclear audio or missing information.

• Submit draft and final minutes within agreed-upon timelines.

• Participate in brief check-ins as needed to manage workload and priorities.


Hours & Schedule

• Provide 15 hours per week of clerical support.

• Hours may fluctuate based on the number and length of meetings.

• Work may be performed remotely unless otherwise specified.

Deliverables

• Draft meeting minutes delivered within required turnaround time.

• Final, edited, and formatted meeting minutes ready for distribution or approval.

• Properly organized electronic files stored in the designated system.

Performance Expectations

• High accuracy and attention to detail.

• Consistent, on-time completion of assignments.

• Professional communication with staff and stakeholders.

• Adherence to confidentiality and data-handling requirements.

Term

• Applies for the duration of the contract or service agreement period.
