Transport Database Executive, The Foundation School, Gunjur/Varthur

About the Role:

We are seeking a proactive, detail-oriented Transport Database Executive to manage the school’s student transport operations. The ideal candidate must be highly proficient in data handling (especially Excel, Google Sheets), quick to respond to changing requirements, capable of managing vendor relationships and real-time logistics with precision.

Key Responsibilities:

1. Data Management & Reporting

• Maintain comprehensive, accurate and up-to-date transport lists and schedules, student route assignments, route performance, incidents and communication.
• Use advanced Excel functions (e.g., VLOOKUP/XLOOKUP, PivotTables, IF statements, Conditional Formatting, Filters, and Data Validation) to manage data and generate reports.
• Maintain and regularly update route lists using Excel with details of students, stops, and timings.
• Provide actionable insights and reports to school leadership in a timely manner.

2. Real-Time Operations & Monitoring

• Ensure buses depart and arrive on time, both for pickup and drop-off.
• Monitor live GPS data to track bus movements and identify any delays, deviations, or service issues.
• Investigate and resolve scheduling or punctuality concerns through timely data analysis and staff coordination.

3. Responsiveness & Problem Solving

• Make real-time updates to route lists based on daily changes (e.g., parent pick-up requests), ensuring accuracy and communication with staff.
• Identify patterns in delays or complaints, conduct root cause analyses, and implement solutions.

Key Skills and Competencies:

• Strong IT and analytical skills; must be proficient with the use of spreadsheets (Excel, Google sheets), GPS systems, Whatsapp, school ERP software etc.
• Ability to adapt to changing situations and resolve issues in a time-sensitive manner.
• Strong interpersonal and communication skills
• Excellent organizational and problem-solving capabilities with a service-first mindset.

Preferred Qualifications:

• Bachelor's degree in any field
• Min 2 years experience in managing transport logistics, preferably in a school

Work Conditions:

• Availability during key transport times.
• Flexibility to respond to emergencies or urgent change requests as needed.
