Travel Coordinator
for a Financial Services company based in Dubai.
Location

Salary
– 20,000 AED/month
Qualifications:

4–8+ years of experience in travel coordination, executive support, or corporate travel management.

Proven experience managing complex international travel for C-suite or senior executives.

Strong knowledge of global visa processes, travel compliance, and risk management.

Experience working across multiple time zones in a fast-paced, global organisation.

Proficiency in travel booking systems, scheduling tools, and expense management platforms.

Bachelor’s degree preferred (Hospitality, Business Administration, or related field advantageous).
Key Responsibilities:
Travel Planning & Logistics

Own end-to-end travel coordination including flights (commercial and private), accommodation, ground transport, visas, and special requests.

Build complex, multi-leg international itineraries across multiple time zones.

Ensure all travel documentation (visas, passports, insurance, vaccination requirements) is accurate and up to date.

Monitor global travel advisories and proactively manage disruptions, cancellations, and schedule changes.

Provide real-time travel support during trips, including last-minute adjustments.
Executive Coordination

Align travel plans with executive calendars to optimise time efficiency and minimise downtime.

Coordinate closely with Executive Assistants and internal stakeholders to ensure seamless scheduling.

Prepare detailed, easy-to-navigate travel packs and briefing documents.

Anticipate executive preferences and ensure personalised service standards are met.
Vendor & Stakeholder Management

Build and manage relationships with airlines, travel agencies, hotels, visa providers, and transport vendors.

Negotiate corporate rates and ensure cost-effective travel solutions without compromising quality.

Liaise with internal finance teams to ensure accurate invoicing and timely payments.
Expense & Compliance Management

Track, reconcile, and submit travel expenses in line with company policies.

Maintain clear documentation of travel bookings, costs, and approvals.

Ensure compliance with internal travel policies and risk management standards.
Process & Systems

Establish structured systems for travel planning, approvals, and record-keeping.

Identify efficiencies and continuously improve travel coordination processes.

Maintain up-to-date travel dashboards and reporting for leadership visibility.
