Doctors Urgent Care Group is a fast-growing, multi-million dollar urgent care corporation operating 31 locations nationwide with over 300 employees across 5 states. We are seeking an efficient, organized, and detail-oriented Virtual Medical Assistant for Patient Collections to join our centralized On-site billing team.

Job Summary:
The Virtual Medical Assistant (VMA) for Patient Collections acts as a professional financial counselor and patient advocate. You will be responsible for managing high-volume outbound and inbound patient communications regarding outstanding medical balances after insurance processing.
Rather than taking a traditional collector approach, you will use your clinical medical assistant background to compassionately review medical charts, explain complex Explanation of Benefits (EOBs) to patients, identify front-end billing discrepancies, and establish ethical payment plans. This hybrid role ensures our patients receive clear, professional clarity on their bills while securing vital revenue for our 31 high-volume urgent care clinics.
Core Duties and Responsibilities:
Patient Financial Communication: Conduct high-volume outbound calls and manage inbound inquiries from patients regarding unpaid co-pays, unmet deductibles, co-insurance, and out-of-pocket urgent care balances.
Clinical Chart Review: Utilize your medical assistant background to navigate the patient’s clinical chart inside AdvancedMD to verify the services rendered, ensure the accuracy of demographics, and cross-reference billing statements.
Insurance Resolution Guidance: Educate patients on their balance statements. Break down complex medical insurance concepts, EOBs, and deductible limits in an empathetic, easy-to-understand manner.
Payment Negotiation & Structuring: Secure phone payments via credit/debit card or electronic portal. Establish realistic, company-compliant monthly payment plans for patients facing financial hardships.
Internal Billing Collaboration: Identify potential coding or insurance processing errors reported by the patient. Document the issues clearly and route them back to the appropriate billing or coding specialist for claims adjustment.
Account Documentation: Maintain meticulous, HIPAA-compliant notes on every patient conversation, payment promise, and account update directly within AdvancedMD.
Required Skills and Qualifications:
Clinical & Financial Balance: The ability to understand both basic medical terminology/patient charts and basic medical billing rules (copays, deductibles, coinsurance).
Empathetic Customer Care: Exceptional active listening, phone etiquette, and conflict-resolution skills. The ability to navigate difficult financial conversations with a calm, supportive, and solution-oriented clinical demeanor.
High Efficiency & Resilience: Capable of maintaining high-volume outreach targets daily across multiple state locations without compromising data quality or patient satisfaction.
Experience and Education Requirements:
Experience: Minimum 1+ years of experience as a Virtual Medical Assistant Patient Account Coordinator or Customer Support Representative. Experience working directly with healthcare collections or medical customer service is highly preferred.
Pay: Rs50,000.00 - Rs75,000.00 per month
