Virtual Medical Assistant (Radiology – High Volume Environment)

About the Role

Medical Virtual Assistant LLC is hiring an experienced Virtual Medical Assistant (Radiology) to support a high-volume radiology practice in the United States.

This role is ideal for candidates who thrive in fast-paced environments, are comfortable handling high inbound call volumes, and have hands-on experience with radiology systems and workflows.

Practice Overview & Systems

  • Specialty: Radiology (High-Volume Practice)
  • RIS: AbbaDox (Cloud-Based)
  • PACS: Intelerad
  • Phone System: RingCentral
  • Time Zone: Pacific Time

Primary Areas of Support Needed

Scheduling & Call Handling (High Priority)

  • Manage high inbound call volume (~120 calls/day)
  • Schedule MRI, CT, X-ray, Ultrasound, and other imaging procedures
  • Coordinate patient appointments efficiently
  • Reduce patient wait times (currently 20–25 minutes)
  • Provide professional and empathetic patient communication

Medical Records Support

  • Obtain prior imaging records (up to 7 years history)
  • Communicate with outside imaging facilities and providers
  • Download and share reports via PACS (Intelerad)
  • Coordinate and manage incoming/outgoing records
  • Ensure HIPAA-compliant handling of all patient data

Billing Oversight Support

  • Monitor reports from external billing company
  • Assist with Accounts Receivable (AR) tracking
  • Prepare and maintain Excel reports
  • Identify claim denials or billing inconsistencies
  • CPT coding familiarity preferred
  • Experience with Personal Injury Liens (PI Liens) is a strong advantage

Required Qualifications

  • Minimum 1–2 years experience as a Virtual Medical Assistant (Radiology preferred)
  • Experience working in high-call-volume environments
  • Strong knowledge of radiology terminology and imaging workflows
  • Familiarity with RIS & PACS systems (AbbaDox & Intelerad experience preferred)
  • Prior authorization and insurance verification experience
  • Basic billing and AR knowledge
  • Proficiency in Microsoft Excel
  • Excellent English communication skills (verbal & written)
  • Ability to work Pacific Time hours
  • Professional remote setup with reliable internet

Preferred Qualifications

  • Experience supporting US-based radiology clinics
  • Personal Injury (PI) lien experience
  • CPT & ICD-10 coding knowledge
  • Experience with external billing coordination
