A Workshop Controller is responsible for overseeing the day-to-day operations of the workshop within the after-sales department. This role ensures efficient scheduling and allocation of work, maintains high standards of service quality, and ensures customer satisfaction while meeting productivity, efficiency and utilization goals. The Workshop Controller is the link between the service advisors, technical staff, and parts department to ensure seamless operations.
Operational Responsibilities
- Review work-in-progress daily and monitor the allocated service orders for timely completion and deliver the vehicle as promised to customers.
- Ensure optimum utilization of resources and monitor workshop productivity, utilization and efficiency.
- Scheduling the service orders efficiently to optimize labor hours sold, maximizing efficiency and profit whilst keeping accurate records for productivity and invoicing.
- Keep accurate loading records while maximizing hours sold.
- Ensure WIP deadlines are met and carried out in cost effective manner.
- Ensure materials, tools, and workshop consumables are controlled and used effectively.
- Seeking proactive opportunities to ensure the workshop runs efficiently and profitably.
- Ensure and monitor for the clocking (time punching) done by technicians, accurately.
- Balance workload between teams to maximize the overall output from the workshop.
- Daily monitor and review service orders which are on hold, wait for parts, wait for approvals etc. and ensure correct information updating in system and to service advisors.
- Daily monitor the intake, work in progress, and output from workshop, and ensure maximum utilization of resources.
- Review any special case with the location manager and obtain their approval as required.
- Conduct/participate in toolbox talk.
- Adhere to Governmental and company Health and Safety polices and regulations to prevent accidents and ensure working in a safe environment.
- Comply with all company policies and procedures including manufacturer policy and procedures, security, health, safety, quality, and environmental policies etc.
- Provide recommendations and work with the workshop management to reduce nonvalue added work, enhance working culture/environment, and improve profitability.
Qualifications and Skills
- Diploma or degree in Mechanical/Automobile Engineering or a related field
- 3-5 years of experience in a workshop or after-sales role, with supervisory experience preferred
- Understanding of resource capacity and utilization
- Skilled administrative abilities inc. computer competency
- Effective manpower handling, approachable with excellent social and communication skills
- Disciplined time management
- Capable of managing multiple responsibilities simultaneously (multi-task)
- Logical thinker with problem-solving attributes
- Able to work under pressure
- Excellent in verbal and written English communication
- Competent to understand and follow specified policy and procedures
