GENERAL DESCRIPTION

The Worship & Arts Coordinator provides comprehensive administrative and logistical support to the Worship & Arts ministry of Bent Tree. This person ensures the smooth day-to-day operation of all worship services, rehearsals, events, and creative projects. The role requires exceptional organizational skills, attention to detail, relational sensitivity, and the ability to manage multiple priorities in a fast-paced, ministry-centered environment.

ESSENTIAL KNOWLEDGE, SKILLS, AND ABILITIES

  • Strong interpersonal and communication skills, both written and verbal. A detail-oriented and proactive team player.
  • Excellent organizational and time management skills.
  • Proficiency in Microsoft Office / Google Workspace and ministry tools (e.g., Planning Center, ProPresenter, CCLI, Adobe Creative Suite a plus).
  • Ability to multitask, prioritize, and maintain composure under pressure.
  • Availability to work Sunday mornings, some evenings, weekends, and during special events.

DUTIES

  • Serve as the primary administrative point of contact for the Worship & Arts Department and manage departmental calendars, schedules, and meeting logistics.
  • Administer all departmental accounting related functions including budget tracking and forecasting
  • Maintain organized systems for music, media, and production resources (e.g., Planning Center, CCLI, ProPresenter, BT Worship).
  • Assist with scheduling and coordinating worship and tech teams.
  • Oversee administrative details for special services (Easter, Christmas, conferences, etc.).
  • Serve as an on-site resource during rehearsals, services, and events as needed.
  • Maintain volunteer databases and scheduling systems.
  • Help onboard and communicate with worship, tech, and arts volunteers.
  • Support training events, appreciation gatherings, and leadership meetings.
  • Coordinate care for ministry servants including meetings, meals, gifts, prayer, etc.
  • Assist in executing the Sunday morning experience in accordance with skillset. This could be musical, technical, volunteer care, logistics, etc.
  • Provide support on Sunday mornings including production assistance, coordinating breakfast arrangements, point of communication, volunteer care, etc.
  • Help manage project timelines for creative initiatives, productions, or stage designs.
  • Participating in the creative brainstorming process for Sunday series and special events.

EDUCATION/EXPERIENCE

  • College degree or equivalent experience preferred
  • 1+ years of administrative assistant or Worship & Arts support experience
