Admin Manager

JOB PURPOSE:

The Admin Manager is responsible for ensuring the efficient operation of administrative tasks across all divisions, including the Head Office, retail footwear & apparel stores, warehouses, CEO houses. This role focuses on implementing and maintaining effective policies, managing compliance with statutory regulations, and overseeing asset management, facility maintenance, and vendor coordination. The Admin Manager plays a critical role in fostering a secure, cost-effective, and operationally efficient environment while supporting legal, regulatory, and organizational objectives.

KEY ACCOUNTABILITIES

  • Manage day-to-day administrative tasks for the Head Office, retail footwear & apparel stores, warehouses, CEO houses and Pole Plants.
  • Ensure consistent application of policies and procedures across all company divisions, including manufacturing, retail, and restaurant operations.
  • Oversee the housekeeping, maintenance, and administration of company facilities to ensure safety, security, and operational efficiency.
  • Develop and oversee preventive maintenance schedules for facilities, ensuring timely repairs and servicing.
  • Monitor compliance with local, provincial, and federal regulations, including labor laws and internal company policies.
  • Coordinate recruitment, training, and performance management for administrative staff, including house staff and security teams.
  • Ensure compliance with EOBI, Social Security, and other statutory regulations for all employees across divisions.
  • Manage timely registration, contributions, and dispute resolutions with EOBI, Social Security, and Labor departments.
  • Monitor and ensure timely renewal of certifications, permits, and regulatory compliance for all facilities.
  • Handle legal matters, coordination with police and law enforcement agencies as and when required.
  • Ensure timely resolution of compliance issues, maintain records, and oversee certifications and permits renewal for all company units.
  • Oversee inventory and documentation of company assets, ensuring proper registration, licensing, and legal compliance.
  • Maintain up-to-date asset records in the asset management system and coordinate repairs to keep assets in optimal condition.
  • Implement and monitor security measures to protect company assets from theft, damage, or misuse.
  • Conduct regular audits and inspections of assets to assess their condition and security.
  • Report discrepancies and recommend corrective actions to the GM for strategic decisions.
  • Assist in developing administrative budgets for the HO, retail stores, and restaurants by coordinating with department heads.
  • Monitor budget performance and report variances, ensuring efficient utilization of resources.
  • Manage petty cash and oversee timely deposits to banks through riders.
  • Provide support to IT and other departments for administrative purchases and market collections.
  • Oversee the housekeeping, maintenance, and repair of civil works, furniture, fixtures, and electrical appliances.
  • Ensure smooth operations of utilities by monitoring bills and payments for services like electricity, Telenor, and other essential services
  • Liaise with government departments (e.g., Labor Department, Environmental Protection Agency, Food Authority) for all business units.
  • Ensure timely resolution of objections or issues raised by these departments.
  • Represent the company in meetings or negotiations with government officials when required.

REQUIREMENTS

  • Education: Bachelor’s/Master’s degree in Business Administration or a related field.
  • Experience: 5–7 years in administration, with experience in compliance, facility management, and vendor coordination.
  • Technical Skills: Proficiency in inventory management systems and asset tracking tools.
  • Soft Skills: Strong leadership, problem-solving, and communication abilities.
  • Other: Knowledge of EOBI, Social Security regulations, and government dealings is essential.

Job Type: Full-time

Pay: Rs120,000.00 - Rs150,000.00 per month
