Position Overview:

We are seeking a dedicated and highly organized Administrative Assistant to support our team. The successful candidate will play a crucial role in ensuring the smooth operation of our office and will be responsible for a variety of administrative and clerical tasks including data entry. This is a fantastic opportunity for an individual with a passion for environmental health and safety and strong administrative skills to contribute to our mission of promoting sustainability and environmental stewardship.

Key Responsibilities:

  • Provide comprehensive administrative support including scheduling meetings, managing calendars, and coordinating travel arrangements and data entry.
  • Assist with the preparation of proposals, presentations, and correspondence, ensuring all documents are accurate and professionally formatted.
  • Contribute to invoicing and accounts receivable activities, including supporting billing processes and monitoring outstanding invoices to help maintain accurate financial records.
  • Maintain and organize electronic and physical files, ensuring all records are up-to-date and easily accessible.
  • Oversee departmental vehicle usage and upkeep, including managing scheduling, tracking availability, and ensuring routine maintenance and service needs are addressed.
  • Handle phone calls, emails, and other communications, directing inquiries to the appropriate team members and providing timely responses.
  • Coordinate and support team events, workshops, and training sessions, including logistics, materials preparation, and participant communication.

Qualifications:

  • High school diploma or equivalent; associate's or bachelor's degree in business administration, environmental studies, or a related field is preferred.
  • Proven experience as an administrative assistant or in a similar role; experience within an environmental or sustainability-focused organization is considered an asset.
  • Strong organizational and time management skills, with the ability to multitask and prioritize effectively.
  • Excellent written and verbal communication skills, with a high level of attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management software and tools.
  • Ability to work independently and as part of a team, demonstrating initiative and resourcefulness.
  • Passion for environmental issues and a commitment to promoting sustainability and environmental stewardship.
