Executive Assistant to the Lead Doctor

About the Role

This is a pivotal, hands-on role centered on keeping our lead doctor focused, on time, and operating at full capacity. You will serve as the right hand to our lead dental practitioner and business owner, anticipating needs before they arise and removing obstacles before they become problems. The ideal candidate is a self-starter who thrives in a fast-moving, close-knit, family-owned environment. You are exceptionally organized, a strong communicator, and someone who takes genuine pride in the success of the people and practice you support. Your work will directly impact the quality of care our patients receive and the culture our team enjoys every day.

Location: We are looking for an in-person assistant to join both locations with a very flexible schedule, according to the weekly need of the lead doctor and your unique schedule. (Dublin: Monday, Wednesday, and Fridays & Downtown: Tuesdays).

Time: 20-30 Hrs/Week

Pay Range: $22-27/hr

Responsibilities

  • Proactively manage the lead doctor’s schedule, priorities, and daily workflow — anticipating needs, minimizing distractions, and ensuring they stay focused and on time throughout the day
  • Serve as a point of support for the lead practitioner, managing day-to-day administrative needs with urgency, accuracy, and a proactive mindset
  • Collaborate on office management duties such as filing, digitizing files, and maintaining organized office spaces
  • Support project coordination efforts by tracking deadlines, liaising with vendors, and ensuring the timely completion of tasks for the practice
  • Conduct clerical tasks, including creating and printing flyers, coordinating payments, re-credentialing for the doctors in our practice, and maintaining accurate filing systems to support daily operations
  • Provide personal assistant support as needed by paying bills and handling confidential information with discretion
  • Support candidate searches, onboarding paperwork, and administrative tasks for new employees when needed
  • Assist with meeting preparation, including agendas, notes, and follow-ups
  • Provide additional administrative support for special projects as assigned

What We’re Looking For

  • At least 3 years of experience as an Administrative Assistant or in an executive administrative role supporting a busy executive, or physician — ideally in a fast-paced, small business or healthcare setting
  • Proven skills in project coordination and office management with a focus on efficiency and attention to detail
  • Demonstrated ability to “lead up” — confidently managing an executive’s time, redirecting focus when needed, and ensuring priorities are met without being asked twice
  • Strong proficiency in Google Workspace (Gmail, Calendar)
  • Experience in Canva Suite is desirable
  • Experience in a medical or dental environment is highly desirable, particularly in a private practice or family-owned setting where adaptability and a team-first attitude are essential
