Administrative Assistant

Job Summary
We are seeking a detail-oriented and organized Administrative Assistant to support daily office operations and assist the General Manager. The ideal candidate will be responsible for a variety of administrative and accounting tasks including payroll, certified payroll, accounts payable/receivable, invoicing, and maintaining production logs. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.

Key Responsibilities

  • Process weekly payroll and certified payroll reports
  • Manage accounts payable and accounts receivable
  • Prepare and send customer invoices
  • Assist with employee hiring and onboarding processes
  • Maintain and update production logs and job documentation
  • Support the General Manager with administrative and operational tasks
  • Organize and maintain office records and files
  • Communicate with vendors, clients, and internal team members as needed
  • Ensure accurate record keeping and data entry

Qualifications

  • Previous experience in administrative support, office management, or accounting preferred
  • Experience with payroll and certified payroll is a plus
  • Familiarity with AP/AR and invoicing processes
  • Strong organizational and time management skills
  • Excellent communication and problem-solving abilities
  • Proficiency with Microsoft Office (Excel, Word, Outlook)
  • Ability to handle confidential information with professionalism

Pay: $23.00 - $26.00 per hour
