Administrative Assistant

Duties

  • Manage front desk responsibilities including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
  • Handle calendar management and scheduling for team members and attorney, including appointment setting and meeting coordination using Microsoft Office.
  • Perform data entry, filing, and proofreading tasks to maintain accurate records and ensure document quality
  • Support office management by overseeing supply inventory, organizing files, and maintaining a clean, efficient workspace
  • Provide customer support via phone or in person, addressing inquiries promptly and professionally
  • Assist with bookkeeping activities using QuickBooks or similar software to track expenses and manage basic financial records.
  • Help prepare monthly financial reports and summaries for management.
  • Prepare quarterly and end of year reports for CPA.
  • Perform basic account and bank reconciliations to ensure accurate and up to date financial information.
  • Familiarity with Clio Manage preferred.
  • Confidentially with office record and files is paramount.

Experience

  • Proven experience in an office environment with clerical responsibilities such as data entry, filing, and document proofreading
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), and basic bookkeeping software like QuickBooks
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting
  • Demonstrated customer service skills with professional phone etiquette and the ability to handle multi-line phone systems confidently
  • Bilingual abilities are highly desirable to serve diverse clients and team members effectively
  • Previous experience as a receptionist—legal—is a plus, along with personal assistant experience or office management roles
  • Familiarity with time management techniques to juggle multiple responsibilities efficiently
