Responsibilities

  • Manage front desk operations, greeting visitors and directing them appropriately with professionalism and warmth
  • Handle multi-line phone systems, answering inquiries promptly and routing calls efficiently using excellent phone etiquette
  • Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and other office management tools
  • Organize and file documents systematically, ensuring easy retrieval and confidentiality of sensitive information
  • Assist with calendar management and scheduling appointments for team members or executives
  • Support bookkeeping tasks using QuickBooks or similar accounting software, including invoicing and expense tracking
  • Provide customer support via phone or email, addressing inquiries with a friendly and helpful attitude
  • Coordinate office supplies inventory and place orders as needed to ensure smooth operations

Skills

  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
  • Demonstrated clerical experience including filing, proofreading, data entry, and document management
  • Bilingual abilities are highly valued to assist diverse client needs and improve communication within the team
  • Experience in office management or administrative roles such as medical or dental receptionist is preferred
  • Exceptional customer service skills coupled with professional phone etiquette and active listening skills
  • Ability to multitask efficiently while maintaining high accuracy in typing and data entry tasks
  • Personal assistant experience or familiarity with calendar management enhances your fit for this role
