Administrative Assistant

Job Overview

We are seeking a customer-focused and organized Administrative Assistant to support our pest control operations, with a primary emphasis on delivering exceptional customer support. This role also involves supporting field representatives, management, and the termite department while mastering our CRM system, FieldRoutes, and property management portals. The ideal candidate is a proactive multitasker with outstanding communication skills and a passion for exceeding customer expectations.

Key Responsibilities

Customer Support

  • Schedule customer appointments and coordinate with field representatives to ensure seamless service delivery.
  • Review customer accounts and address frequently asked questions (FAQs) with clarity and professionalism.
  • Connect customers with their assigned field representatives for personalized assistance.
  • Upsell new services to meet customers’ pest control needs and enhance their experience.
  • Receive and process work orders, provide requested documents promptly and accurately.

Field Support

  • Create and schedule appointments for field representatives.
  • Process payments and update customer billing information.
  • Maintain and update customer cards and account details in FieldRoutes.

Management Support

  • Communicate updates on technician or customer accounts requiring special attention.
  • Assist with scheduling and managing small tasks as directed by management.
  • Provide reports to ensure operational efficiency and alignment with company goals.

Termite Department Support

  • Schedule termite inspection and treatment services.
  • Prepare and manage documents within FieldRoutes and termite software.
  • Answer customer FAQs specific to termite services, treatments and documents.
  • Communicate account details and updates to termite inspectors to ensure seamless service delivery.

Qualifications

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and willingness to learn FieldRoutes, termite software and property management portals.
  • High school diploma or equivalent; associate’s degree or relevant certification preferred.
  • 1–2 years of administrative or customer service experience, preferably in pest control or a related industry.
  • Strong organizational and multitasking skills with a keen attention to detail.
  • Excellent verbal and written communication skills, with a customer-first mindset.
  • Ability to handle sensitive customer information with confidentiality.
  • Experience with payment processing and billing systems is a plus.
  • Knowledge of termite control processes or willingness to learn.

Job Type: Full-time

Pay: From $22.00 per hour
