Job Overview
We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role offers the opportunity to support daily office operations, enhance workflow efficiency, and deliver exceptional customer service. Responsibilities

  • Assigns driver vehicles as needed to routes. Performs scheduling function for trips.
  • Handle incoming calls, direct inquiries appropriately, and maintain excellent phone etiquette to ensure positive customer interactions
  • Arranges for faxing, coping, mail distribution, an d preparing computers to send and receive electronic data and administers the file system.
  • Schedules and coordinates meetings as needed, arranges details of meetings such as location and prepares agendas as needed.
  • Perform data entry, filing, proofreading, and document management to keep records accurate and organized.
  • Communicates access and/or loading problems to supervisor.
  • Responsible for keeping updated on all company policies and procedures, and all training requirements.
  • Assist with invoicing, billing, and financial record keeping
  • Assist with office management duties including supply inventory, equipment maintenance, and general administrative support
  • Provide customer support by addressing inquiries promptly and professionally while maintaining a positive attitude
  • Ensures that specific services are provided to meet the needs of particular customers.
  • Perform other duties as required

Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications for effective document creation and communication
  • Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
  • Excellent typing speed combined with meticulous proofreading skills to produce error-free documents
  • Knowledge of clerical procedures including filing, data entry, and record keeping for seamless administrative operations
  • Exceptional customer service skills coupled with professional phone etiquette to foster positive relationships with clients and visitors
  • Personal assistant experience or medical receptionist background is advantageous for handling specialized administrative tasks
