Administrative Assistant

Job Summary

We are looking for a dependable Administrative Assistant to help keep our office organized and running smoothly. This role supports project managers and leadership with day-to-day administrative tasks, communication, and document organization. The ideal candidate is detail-oriented, comfortable using common office software, and able to manage multiple tasks in a fast-paced environment.

Responsibilities

  • Answer and direct incoming phone calls and emails
  • Provide administrative support to project managers and office staff
  • Organize and maintain digital and paper files
  • Assist with scheduling meetings and managing calendars
  • Prepare documents, reports, and spreadsheets as needed
  • Track and organize project documents and correspondence
  • Assist with data entry and updating internal records
  • Support general office operations and help keep projects moving

Qualifications

  • Previous administrative or office experience preferred
  • Strong organizational and time-management skills
  • Comfortable using Microsoft Office (Excel, Word, Outlook)
  • Good written and verbal communication skills
  • Ability to handle multiple tasks and priorities
  • Attention to detail and reliability

Nice to Have

  • Experience working in construction, contracting, or project-based environments
  • Familiarity with QuickBooks or similar accounting software
  • Experience organizing project files or bid documents (prefered but not required)

Pay: $40,000.00 - $45,000.00 per year
