Administrative Assistant (Part-Time)

Overview
We are seeking a highly organized and detail-oriented Part-Time Administrative Assistant to join our dynamic team. The ideal candidate will have excellent clerical, communication, and customer service skills to ensure smooth daily operations and provide outstanding support to our staff and clients. This role involves a variety of office management tasks and requires efficiency, professionalism, and a proactive attitude.

Responsibilities

  • Manage front desk operations, greet visitors, and handle inquiries professionally.
  • Operate a multi-line phone system with excellent phone etiquette.
  • Perform data entry, filing, and maintain organized electronic and paper records.
  • Use Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) for document creation, scheduling, and communication.
  • Assist with calendar management, including coordinating deliveries and appointments.
  • Support bookkeeping and basic accounting tasks using QuickBooks.
  • Proofread and edit documents for accuracy before distribution.
  • Provide customer service by addressing client needs and responding to inquiries promptly.
  • Maintain office supply inventory and assist with ordering materials as needed.
  • Collaborate with team members on various projects and meet deadlines efficiently.
  • Perform light office-keeping duties to ensure a clean and organized workspace.

Qualifications

  • Previous administrative experience required; experience in a construction company is a plus.
  • Proficiency in QuickBooks and Microsoft Office Suite is essential.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent typing and data entry accuracy.
  • Bilingual candidates are encouraged to apply.
  • Experience in customer service or personal assistant roles is advantageous.

Job Type: Part-time

Pay: From $20.00 per hour
