Administrative Assistant

Overview
We are seeking a dynamic and highly organized Administrative Assistant to join our team and support daily office operations with energy and professionalism. This role is vital in ensuring smooth administrative workflows, providing exceptional customer support, and maintaining an efficient office environment. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, ready to contribute to a vibrant workplace where organization meets service excellence.

Responsibilities

  • Serve as the first point of contact at the front desk, greeting visitors and managing multi-line phone systems with professionalism and courtesy
  • Handle incoming calls, direct inquiries, and provide accurate information using phone etiquette and customer service skills
  • Manage calendar appointments, schedule meetings, and coordinate office events to optimize time management for staff and executives
  • Perform data entry, filing, and record keeping using Microsoft Office, Google Workspace, and other office management tools to ensure information accuracy and accessibility
  • Assist with bookkeeping tasks utilizing QuickBooks or similar software to support financial recordkeeping and invoicing processes
  • Support clerical functions such as proofreading documents, managing correspondence, and maintaining organized files for easy retrieval
  • Provide general office management support including supply inventory, mail handling, and maintaining a clean, organized workspace

Requirements

  • Proven experience in an office environment with strong clerical skills and familiarity with office management procedures
  • Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry skills
  • Prior experience as a receptionist or administrative assistant preferred; experience in medical or dental reception is a plus
  • Strong organizational skills with the ability to multitask efficiently in a fast-paced setting
  • Exceptional phone etiquette with experience handling multi-line phone systems and customer support interactions
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Knowledge of bookkeeping software such as QuickBooks or similar financial tools is advantageous
  • Personal assistant or medical receptionist experience will be considered a strong asset for this role
