Administrative Assistant

We are looking for a detail-oriented and proactive Administrative Assistant to join our team in Alhambra, California. In this long-term contract position, you will play a key role in supporting property management operations for a portfolio of residential and commercial properties. Responsibilities:

• Monitor and audit property tax accounts to ensure timely payments and compliance.

• Track and verify insurance policies to confirm the company is listed as an additional insured.

• Conduct monthly reviews of tenant insurance policies to ensure active status and compliance.

• Assist with tenant onboarding, including application reviews and lease education.

• Address tenant inquiries regarding rent payments, lease terms, and maintenance requests.

• Enter charges, process rent payments, and manage receivables using Yardi property management software.

• Organize and maintain property-related documentation, including leases and invoices.

• Support financial tasks such as bank deposits, reconciliations, and expense audits.

• Ensure business licenses and state filings are up-to-date and compliant.

• Coordinate vendor bids and service provider schedules as needed.

• Minimum of 3 years of experience in administrative or property management roles.
• Proficiency in Yardi property management software is preferred.
• Strong organizational skills with the ability to multitask effectively.
• Bilingual fluency in Spanish and English is required.
• Exceptional attention to detail and accuracy in all tasks.
• Ability to handle sensitive information with the utmost confidentiality.
• Excellent written and verbal communication skills.
• Proficiency in basic office tools, including data entry and document management.
