Administrative Assistant

Job Summary
We are seeking a detail-oriented and organized Administrative Assistant to provide comprehensive administrative and clerical support to ensure the efficient operation of the office. This role will work closely with the CEO and leadership team, supporting daily administrative needs and helping coordinate key activities across departments. The ideal candidate is proactive, professional, and capable of managing multiple tasks in a fast-paced environment.

Key Responsibilities

  • Provide general administrative and clerical support including filing, scanning, and document management
  • Work closely with the CEO to support daily administrative needs, scheduling, and coordination of meetings and communication
  • Answer and direct phone calls, emails, and other correspondence
  • Schedule appointments, meetings, and maintain calendars for leadership as needed
  • Prepare reports, presentations, and correspondence as required
  • Maintain office supplies inventory and place orders when necessary
  • Coordinate travel arrangements and meeting logistics
  • Assist with data entry and maintain accurate records and databases
  • Greet visitors and provide professional front-desk support when required
  • Support various departments with administrative tasks as needed
Requirements:
  • High school diploma or equivalent (associate or bachelor’s degree preferred)
  • Proven experience as an Administrative Assistant or in a similar role
  • Bilingual (English & Spanish) Preferred
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Strong written and verbal communication skills
  • Excellent organizational and time-management abilities
  • Attention to detail and problem-solving skills
  • Ability to handle confidential information with discretion
  • Strong interpersonal skills and professional demeanor
