The Upshur County Senior Center is seeking a detail-oriented Office Assistant to support our In-Home Care nursing staff and program operations. This position plays an important role in maintaining client records, assisting with plans of care documentation, and coordinating schedules for in-home care staff. The ideal candidate is organized, dependable, and comfortable working in a healthcare administrative environment.

Education

  • High School Diploma or equivalent required
  • Associate or Bachelor’s degree in healthcare administration, business, or a related field preferred

Experience

  • At least 1 year of office or administrative experience preferred
  • Experience with data entry, scheduling, or healthcare records is a plus

Key Responsibilities

  • Provide administrative support to the Director and In-Home Care nursing staff
  • Maintain and update client records, plans of care, and service documentation
  • Enter and maintain client data and monthly activity records in Gainwell
  • Monitor files and assist with updates for reporting purposes
  • Assist nursing staff with scheduling direct care workers for in-home services
  • Track employee documentation including background checks, CPR certifications, driver’s licenses, and insurance
  • Maintain staff training records through WV Cares
  • Assist with new employee onboarding, including paperwork and background check scheduling
  • Assist with payroll preparation and administrative tasks
  • Answer phone calls and assist clients or direct inquiries appropriately
  • Assist with inventory and ordering of program supplies

Requirements

  • Strong organizational and communication skills
  • Ability to manage multiple tasks and meet deadlines
  • Proficiency with Microsoft Word and Excel
  • Ability to learn state reporting systems such as WellSky
  • Ability to work both independently and as part of a team
  • Must pass a West Virginia Department of Human Services background check

Physical Requirements

  • Work primarily in an office environment
  • Ability to sit, stand, and occasionally lift up to 25 lbs

Travel

Occasional travel may be required for meetings, training, or workshops within the service area.

Job Type: Full-time

Pay: From $18.00 per hour
