Position Summary

The Administrative Assistant serves as the primary front desk representative and provides administrative support across the agency. This role is critical to ensuring a welcoming environment for clients and visitors while supporting daily operations, scheduling coordination, and internal administrative functions.

This position requires strong customer service skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.


Key Responsibilities


Front Desk & Client Support

  • Greet and assist clients, visitors, and staff in a professional and welcoming manner
  • Answer and route incoming calls efficiently
  • Notify staff of client arrivals and assist with intake processes
  • Monitor daily schedules and support appointment flow
  • Escalate urgent or crisis-related calls according to agency protocol

Administrative Support

  • Perform general administrative tasks, including filing, copying, and document distribution
  • Maintain organized reception, lobby, and common areas.
  • Manage incoming and outgoing mail
  • Support the scheduling of meeting rooms and internal coordination.
  • Provide administrative support to the Human Resources department, including assisting with onboarding, coordination, and special projects as needed

Operational Support

  • Assist with onboarding-related tasks such as preparing materials for new employees
  • Maintain office systems (sign-in logs, key tracking, supply inventory, etc.)
  • Support agency-wide administrative needs as assigned

Qualifications

Minimum Requirements

  • High school diploma or GED
  • At least one (1) year of administrative, clerical, customer service, or receptionist experience

Preferred Skills & Experience

  • Experience in a healthcare, behavioral health, or social services setting
  • Familiarity with multi-line phone systems
  • Proficiency in Microsoft Office and the ability to learn new systems quickly

Additional Requirements

  • Ability to pass State of Alaska and FBI background checks
  • Ability to obtain CPR and First Aid certification

Work Environment

This position is based in a community mental health setting in Wasilla and requires regular interaction with clients, staff, and visitors.
