Administrative Assistant

Are you an agile, proactive Administrative Assistant looking to step into the fast-paced world of global beauty?


We are seeking a high-energy professional to join a world-renowned beauty company at their stunning SoHo headquarters. This is a 3-month temporary assignment (with potential for extension) supporting three dynamic VPs. If you thrive in a "work hard, play hard" environment and love the intersection of logistics and creativity, we want to hear from you!

The Schedule (36.5 Hours/Week)

  • Monday – Thursday: 9:00 AM – 5:30 PM (30-minute lunch)
  • Friday: 9:00 AM – 1:30 PM ( Start your weekend early! )


What You’ll Do

As the right hand to three VPs, you will be the "glue" that keeps operations seamless. Your day-to-day includes:

  • Executive Support: Expertly managing complex Outlook calendars and shifting priorities.
  • Travel & Logistics: Orchestrating domestic and international travel, including detailed itineraries and ground transport.
  • Meeting Coordination: Leading the charge on meeting setups—everything from AV needs and catering to preparing high-level presentation materials.
  • Financial Admin: Processing POs, tracking expenses, and reconciling reports with precision.
  • Office Culture: Assisting with new hire orientations, onboarding, and managing IT/supply requests to keep the team running at 100%.
