Position Overview:
Office Administrator will be the first point of contact for patients and will play a key role in ensuring the smooth flow of operations in our busy clinic. This individual will be responsible for managing appointments for multiple doctors, assisting patients with necessary paperwork, and ensuring a welcoming, professional atmosphere.

Key Responsibilities:

Front DeskPatient Interaction:

  • Greet patients upon arrival with a friendly and professional demeanor.
  • Check in patients for multiple specialties, including chiropractic, orthopedics, interventional pain management, and neurosurgery.
  • Collect and verify patient information, including insurance details and medical histories.
  • Assist patients in completing required forms and ensure all necessary paperwork is filled out accurately.
  • Answer and direct phone calls, providing patients with accurate information about appointments and procedures.
  • Coordinate and schedule appointments across multiple doctors and specialties, ensuring optimal patient flow.
  • Facilitate patient check-out, ensuring that follow-up appointments, referrals, and necessary documentation are scheduled.
  • Communicate with patients regarding insurance eligibility and scheduling requirements.

Administrative Support:

  • Manage patient intake, ensuring timely and accurate documentation.
  • Handle administrative tasks such as filing, scanning, faxing, and organizing patient records.
  • Collaborate with physicians and other medical staff to ensure smooth communication regarding patient care.
  • Maintain a clean, organized, and welcoming front desk area.
  • Coordinate and assist with managing referrals, medical records requests, and insurance verification as needed.

Multi-Specialty Coordination:

  • Ensure seamless coordination of appointments, follow-ups, and referrals across multiple specialties including chiropractic, orthopedics, interventional pain management, and neurosurgery.
  • Help manage physician schedules, ensuring accurate and up-to-date appointment books.
  • Liaise with the clinical team to ensure proper patient intake, flow, and appropriate scheduling for different specialty requirements.

Qualifications:

  • Previous experience in a medical office or healthcare setting preferred.
  • Experience working in a multi-specialty practice (chiropractic, orthopedics, pain management, neurosurgery) is a plus.
  • Strong communication and interpersonal skills, with the ability to interact effectively with patients, medical staff, and insurance providers.
  • Ability to multitask, stay organized, and manage a high volume of phone calls and patient inquiries.
  • Proficiency in electronic health record (EHR) systems and scheduling software.
  • Knowledge of medical terminology, insurance, and patient billing is preferred.
  • Strong attention to detail and a commitment to providing exceptional customer service.
  • Ability to work efficiently in a fast-paced environment.
  • Bilingual is a plus!
