Job Summary

Administrative Professional

The College of Humanities seeks an Administrative Professional to support the departments of Communication, Linguistics, and Ethnic, Gender & Disability Studies . This role contributes to the day-to-day operations of these units by providing a combination of administrative coordination, transactional support, and problem-solving.

Working closely with department leadership and administrative partners, this position helps ensure efficient, accurate, and responsive support across a range of academic and operational activities.

Responsibilities

Administrative Professional/Office Administrator III

Key Responsibilities

Financial & Administrative Processing

  • Process reimbursements, honoraria, and travel for faculty, students, and guests

  • Support purchasing and reconciliation activities, including use of university systems (e.g., UShop, PCard)

  • Maintain organized records and assist with basic budget tracking

Payroll & Hiring Support

  • Prepare graduate student teaching offer letters

  • Process personnel transactions (ePAFs) and support semester hiring processes

  • Coordinate with HR and payroll offices to ensure timely processing

Faculty & Academic Support

  • Coordinate administrative aspects of faculty hiring

  • Support review processes (e.g., retention, promotion, tenure) by managing materials and communications

  • Serve as a point of contact between faculty and administrative offices on matters such as leave, retirement, and related processes

Office & Operations Coordination

  • Coordinate facility and maintenance requests and serve as liaison with campus service units

  • Assist with office space assignments, access, and general office logistics

  • Support front office operations and maintain shared resources and equipment

Student & Program Support (as needed)

  • Assist with scholarship coordination and related administrative processes

Requires a bachelor’s (or equivalency) + 6 years or a master’s (or equivalency) + 4 years of directly related work experience.

Minimum Qualifications

EQUIVALENCY STATEMENT : 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor’s degree = 4 years of directly related work experience).

Office Administrator, III : Requires a bachelor’s (or equivalency) + 6 years or a master’s (or equivalency) + 4 years of directly related work experience.

Preferences

  • Experience providing broad administrative support across multiple units.

  • Experience documenting processes or supporting process improvement efforts.

  • Strong organization, attention to detail, and ability to manage multiple priorities.

  • Demonstrated ability to build trust and maintain positive working relationships.
