The Administrative Specialist is a critical position for our department with our continued and rapid faculty growth in both the clinical and research divisions. This position helps backfill administrative vacancies in our department. This position performs administrative support work to assist with the administration of personnel and other office procedures within the Department of Psychiatry and Behavioral Neurosciences. The Administrative Specialist will perform key business process transactions including but not limited to processing of HR actions at the department level for both faculty and staff and other business processes including managing guest accounts, scheduling meetings, and oversight of clinical call schedule.


  • Assist with administrative support to all divisions for Psychiatry. Will serve as a liaison to our faculty and staff as well as other departments and affiliates. Assist with administering policies and procedures related to our department and in accordance with the university.
  • Assist Department Administrator with faculty affairs task including but not limited to faculty appointment request, renewals and onboarding of new physicians.
  • Assist Department Administrator as well as other key department managers in processing staff requests that include appointment renewals, posting of new positions and assisting generally with the recruitment process.
  • Assist the Department Administrator, Chair and other key departmental leadership with tasks as assigned including managing of all incoming and renewed guest accounts, updating physician call schedule, building and maintenance requests and website management.
  • Perform other administrative duties as required to support the mission and function of the unit.

This position requires a high school diploma or equivalent, with at least four years of experience in an office or administrative support position. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.

Preferred: Bachelor's Degree and experience in an office and administrative support position.
