Key Responsibilities:
- CAFM System Management:
- Coordinate and manage the day-to-day operations of the CAFM system to ensure accurate and up-to-date data is maintained for facilities management.
- Administer the CAFM software, ensuring system functionality, user access, and integration with other management systems (e.g., Building Management System (BMS), Energy Management System (EMS)).
- Configure and customize the CAFM system to meet specific operational requirements and enhance facility management processes.
- Troubleshoot system issues, coordinate with software vendors for technical support, and implement system updates or upgrades.
- Maintenance & Service Management:
- Oversee the planning and scheduling of preventive and corrective maintenance activities using the CAFM system.
- Monitor and track maintenance work orders, ensuring that tasks are completed on time and within budget.
- Coordinate with maintenance teams and contractors to ensure timely resolution of maintenance issues and ensure that all work is recorded in the CAFM system.
- Ensure that all assets (e.g., equipment, HVAC systems, lighting, etc.) are properly tracked, monitored, and maintained within the CAFM system.
- Space & Asset Management:
- Use the CAFM system to manage space utilization, ensuring optimal use of office or facility space based on needs and demand.
- Maintain accurate records of all assets, including equipment, furniture, and fixtures, ensuring that they are properly logged in the CAFM system.
- Assist in space planning and allocation to ensure efficient and effective use of the facilities, based on user needs and business operations.
- Data Management & Reporting:
- Maintain accurate and comprehensive records of facility-related data, including maintenance schedules, asset information, service requests, and historical performance.
- Generate and analyze regular reports from the CAFM system, providing insights into maintenance trends, asset performance, energy consumption, and space usage.
- Prepare and present reports for management on the status of facilities, including recommendations for improvement or optimization.
- User Support & Training:
- Provide training and support to internal users of the CAFM system, including facility management teams, maintenance staff, and other stakeholders.
- Create and maintain user manuals, documentation, and best practices for using the CAFM system effectively.
- Serve as the point of contact for any system-related queries, offering troubleshooting assistance and guidance.
- Compliance & Standards:
- Ensure that the CAFM system complies with relevant regulatory requirements, safety standards, and company policies.
- Assist in managing compliance with maintenance standards, industry regulations, and quality assurance protocols through data collected in the CAFM system.
- Ensure that the system is regularly updated to reflect any changes in regulatory or operational requirements.
- Process Improvement & System Optimization:
- Continuously review and improve CAFM processes, making recommendations for system enhancements and better integration with other facilities management functions.
- Collaborate with other departments (e.g., IT, HR, Operations) to optimize the functionality and utilization of the CAFM system.
- Identify opportunities to streamline facilities management operations through better use of technology and data analysis.
Qualifications & Skills:
- Education:
- Bachelor’s degree in Facilities Management, Engineering, Business Administration, Information Technology, or a related field.
- Certification in CAFM or related software (e.g., Archibus, Maximo, Planon, or similar) is a plus.
- Experience:
- 2-4 years of experience in facilities management, IT support, or a related field, with hands-on experience using CAFM systems.
- Experience in coordinating facilities operations, including maintenance, space management, and asset tracking, is preferred.
- Prior experience in using CAFM software (e.g., Archibus, FMX, or similar) is highly desirable.
- Skills:
- Strong knowledge of facilities management processes, including preventive maintenance, asset management, and space planning.
- Proficiency with CAFM systems and software, with the ability to troubleshoot, configure, and optimize the system.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Strong analytical and problem-solving skills, with the ability to generate and interpret data reports.
- Good communication skills, both written and verbal, for interacting with various stakeholders (e.g., maintenance teams, contractors, and management).
- Attention to detail and accuracy in managing facility-related data.
- Ability to work collaboratively with cross-functional teams, including IT, facilities, and operations departments.
- Technical Skills:
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) for reporting and documentation.
- Familiarity with building management systems (BMS) and energy management systems (EMS) is an advantage.
- Basic knowledge of project management principles and software is a plus.
