Chiropractic Office Manager

Overview

We are seeking an experienced, dedicated and highly detailed oriented Chiropractic Office Manager to oversee the daily operations of our chiropractic practice.

The ideal candidate will possess strong leadership qualities, exceptional administrative skills, and a passion for providing excellent patient care.

As the Office Manager, you will be responsible for managing staff, coordinating schedules, handling financial tasks, and ensuring the smooth functioning of the office environment. Your role is vital in creating an efficient, welcoming, and professional atmosphere that supports both patient satisfaction and operational excellence.

There will be a 90 day orientation period.

Responsibilities

1. Clinic Operations Management

  • Oversee daily office operations, including front desk management, appointment scheduling, and patient check-in/out procedures.
  • Conduct shift huddles with doctors and staff to communicate key patient information, shift goals, and address any challenges.
  • Monitor inventory levels and order clinic supplies and equipment as needed, staying within budget guidelines.
  • Manage incoming and outgoing mail, process Explanation of Benefits (EOBs), and handle payments accurately and efficiently.
  • Process patient cancellations and ensure smooth schedule adjustments.
  • Ensure X-ray equipment is properly maintained and calibrated; assist with X-ray analysis as needed.

2. Patient Care & Experience

  • Ensure patients receive exceptional care and service during every visit.
  • Address patient concerns or complaints promptly, implementing solutions to enhance satisfaction and retention.
  • Support the clinic team in creating a welcoming and professional environment that reflects the clinic’s values.

3. Financial & Billing Oversight

  • Verify patient insurance coverage accurately to facilitate seamless billing and claims processing.
  • Regularly review patient accounts to ensure accuracy in billing and records.
  • Contact patients with overdue balances and set up appropriate payment arrangements in a professional and empathetic manner.
  • Monitor and track the timely completion of billing and coding tasks by the clinic doctor.

4. Staff Leadership & Development

  • Provide leadership, guidance, and support to clinic staff, fostering a positive and productive work culture.
  • Address staff concerns promptly and professionally.
  • Collaborate with clinic owners/chiropractors to create and manage staff schedules, ensuring adequate coverage during operating hours.
  • Be prepared to step in and perform duties of absent staff to maintain smooth operations.
  • Facilitate training sessions for new and existing staff to ensure competence, compliance, and alignment with clinic standards.

5. Performance, Reporting & Strategic Planning

  • Compile and analyze clinic statistics to assess performance, identify trends, and support data-driven decision-making.
  • Collaborate with clinic owners/chiropractors to develop and implement action plans to achieve and exceed clinic goals.

Qualifications:

- Minimum 1 year of previous experience in a managerial or supervisory role within a chiropractic clinic or healthcare setting.

- Knowledge of insurance verification (Medicare, BCBS, Aetna, Optum)

- Knowledge of chiropractic billing and coding procedures is preferred.

- Strong leadership, communication, and organizational skills.

- Proficiency in using clinic software (ClinicMind) and other relevant tools preferred.

- Ability to multitask and prioritize tasks effectively.

- Demonstrated problem-solving abilities and a proactive approach to improving processes.

- Ability to work during clinic operating hours

- Desire to be with CFC on a long term basis

- Belief in Chiropractic philosophy

Job Type: Full-time

Pay: $21.00 - $25.00 per hour
