Course Materials & Supply Buyer - VolShop - UTK

Knoxville, United States

Responsible for buying course materials and school supplies for resale at the VolShop. Duties also include procurement of office supplies for the VolShop department through approved UT vendors. Must be proficient in buying software.

Proficient in Oracle NetSuite ERP computer system and vendor applications.


  • On the buying team for a $10 million dollar course material program.
  • Works directly with faculty and publishers to obtain information to process and provide course materials for each term. Corresponds and works collaboratively with faculty, staff and other entities on campus to get course material adoption deadlines.
  • Responsible for course material digital activation, charge files, etc.
  • Obtaining, analyzing, processing, and providing course materials submitted for adoption by the instructors.
  • Proficient in: Excel, Smartsheet, Power Point, Verba Collect, Verba Connect and Oracle NetSuite ERP.
  • Use of computer systems to create, process, and provide course materials digitally, through the LMS to students, or in print form.
  • Ability to work in multiple systems, preparing and providing, digital, and print requested for a course, department, and/or resale.
  • Responsible for correct ordering, provision, pricing, and invoicing of course material for resale in-store or the e-commerce website.
  • Create presentations and reports when needed for presenting to administration, faculty or instructors.
  • Creates and transfers charge files to the Bursar office for the charging of IA digital material to student accounts
  • Buyer for $180,000 of school and office supplies
  • Oversee all buying of office supply items for resale to students, faculty and departments for Volshop and Art & Architecture Stores.
  • Supervises and delegates duties to student workers, including placing vendor orders and merchandising supplies on the sales floor.
  • Presentations and demonstrations of new and trending supply items to students and departments.
  • Manages inventory budgets and Open-to-Buy budgets with feedback and reporting from outside inventory consultant.
  • Coordinates orders and shipments based on department or university schedule and initiates charges to the appropriate account.
  • Overseas and negotiate orders with vendors and assures orders are placed in an adequate time to be received, priced and merchandised.
  • Creates buying reports, including sales and open-to-buy to obtaining important data for informed decision making.
  • Creates school supply bundles for special purchases, students, or departments.
  • Maintains and updates school supply items on VolShop e-commerce website.
  • Develops markdown plans for slow moving products.
  • Works with marketing to create promotions for new product launches and clearance sales.

Procurement of department office supplies:

  • Procures departmental office supplies for in-store use for VolShop with approval from the associate director or the director.
  • Looks for vendors with best prices and always looking for cost saving for department.
  • Make re-occurring payments to vendors using procurement card.
  • Reconciles procurement card statement of purchase(s).
  • Maintains and stays updated on all UTK procurement policies.
  • Reviewing orders to see if there is an opportunity to work with diverse suppliers when applicable.

MINIMUM REQUIREMENTS AND DESIRABLE QUALIFICATIONS

  • Education: High school diploma or GED
  • Bachelor’s degree preferred
  • Training and experience in the buying and procurement of services, commodities, supplies, materials, and/or equipment.
  • 1-3 years of relevant experience
  • 1 year of experience in college or retail college bookstore preferred.
