Job Overview:
The Customer Service Representative plays a key role in ensuring a smooth and professional client experience while assisting with the day-to-day administrative functions of a visa consultancy firm. This position serves as the first point of contact for clients and requires excellent communication skills, a professional attitude, and the ability to handle confidential information responsibly.
Key Responsibilities:
- Greet and assist clients in a courteous and professional manner, both in person and through phone or email communication
- Provide clear and accurate information about visa services, processes, and appointment scheduling
- Manage appointment bookings, confirmations, and updates efficiently
- Follow up with clients regarding documentation, fees, and application progress
- Handle client queries, concerns, and complaints with patience and professionalism
- Ensure the confidentiality and security of all client-related and immigration information
Administrative Duties:
- Maintain well-organized client records, files, and documentation systems
- Assist consultants with administrative support related to ongoing cases
- Perform data entry, prepare basic reports, and draft routine communications
- Monitor office inventory and contribute to smooth daily office operations
- Coordinate with team members and departments to ensure efficient workflow
- Adhere to company policies and operational procedures at all times
Requirements:
- Bachelor’s degree in any relevant field
- 1–3 years of experience in customer service or administrative roles (experience in visa/immigration or service-based industry is an advantage but not required)
- Strong command of English, both spoken and written
- Excellent communication and interpersonal abilities
- Professional demeanour with punctuality and discipline
- Basic knowledge of computer systems and office software
- Ability to manage multiple tasks and perform well under pressure
