Deputy County Clerk - Civil & Mental Health

SUMMARY OF POSITION

Perform the primary work in managing court dockets with a focus in civil and mental health and acting as back up for all court services. Act as liaison between County Court at Law Judge and local attorneys and the public coordinating filings required, in person, digitally or through the e-file portal. Assist with Vital Statistics and Official Public Records; and assume other duties as assigned.

ORGANIZATIONAL RELATIONSHIPS

· : County Clerk, in the absence of the County Clerk will report to Chief Deputy Clerk

· : This is not a supervisory position.

· : Has daily contact with County Court at Law Judge and Court Coordinator; attorneys; County District Attorney Office personnel; Sheriff’s Office Civil Processing personnel; co-workers, other county offices; title companies; federal, state and local agencies; and the general public

ESSENTIAL DUTIES:EXAMPLES OF WORK

· Act as the Clerk of the Court for non-jury hearings and jury hearings and through voir dire on jury trials (and/or as required) under the direction of the County Clerk, Chief Clerk of the Court and the County Court at Law Judge

· Prepare case file folders, index sheets and docket sheets both hardcopy and digitally

· Maintain dockets and keep CCAL Judge, County Clerk and Chief Court Clerk apprised of pending matters

· Issue needed and requested documents, such as certifications, warrants, citations, etc., resulting from Court Orders, record searches, and requests, assessing appropriate fees and distributing bill of costs

· File, input and scan into Odyssey all court documents

· Coordinate jury selection process and forward returned jury duty cards to Voter Registrar

· Set up Excel spreadsheet for juror contacts and process juror pay information for County Treasurer

· Maintain dispositions for reporting to Office of Court Administration and TxDPS (CJIS)

· Work closely with Collections Specialist on criminal fines and assessed courts costs

· Report Firearm information concerning criminal cases to the TxDPS/NICS Unit

· Assist the public with department information, researching records, and resolving relevant issues

· Review documents to check for recording eligibility prior to accepting

· Maintain current knowledge of required statutes and material and attend seminars to keep abreast of new laws and procedures

· Perform daily balancing and daily mail duties periodically; answer telephone

· Perform other related duties as assigned

· Hours are 8:00AM-5:00PM, lunch time will vary due to altering lunch times — although may be required to work additional from time to time on court days and receive comp-time

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES

Preferred knowledge of:

· Microsoft Office (Word, Excel & Power Point), Correct business English, spelling, punctuation, and basic math

· Basic legal terminology and procedures

· Current statutes, rules, and regulations relating to department responsibilities including, but not limited to, Texas Property Code, Texas Local Government Code, Texas Rules of Court, Texas Code of Criminal Procedure, and Texas Family Code and their applications to County Clerk work

· Computer proficiency in word processing, reports, data inquiry, and assist others in use of same

· Conversational Spanish is desirable but not required

Skill/Ability to:

· Excellent customer service and support skills, with the ability to assess needs accurately and provide appropriate responses aligned with applicable department standards

· Ability to perform well with interruptions and, occasionally, in stressful situations

· Must exhibit a strong sense of duty to serve the community and promote the work of the County Clerk’s office to the public

· Must possess excellent decision-making skills and demonstrate sound judgment

· Must possess strong oral and written communication skills—including impeccable proofreading skills and meticulous attention to detail

· Must have strong organizational, time management, and follow-up skills, plus the ability to maintain accurate records and files

· Must be a team player who takes direction well, and can self-monitor and prioritize an every changing work load

· Must be able to operate standard business machines, including computer, scanner, copier, telephone, fax machine, and calculator by touch

· Must be able to keyboard/type accurately at a speed of at least 30 words per minutes

· Must be able to move volumes weighing up to thirty (30) pounds

· Must be bondable

ACCEPTABLE EXPERIENCE AND TRAINING

· High school graduate, or its equivalent

· Possess three or more years of work experience which proves the required organizational and customer service skills, and abilities

CERTIFICATES AND LICENSES REQUIRED

· Valid Texas Driver's License, good driving record, and reliable transportation or alternate reliable means of transportation

· Must submit to background check, pre-employment physical, and drug screening

· Must take Oath of Office and sign Confidentiality and Non-Disclosure Agreement

· Attend appropriate continuing education coursework that may require three to five days out of town

Job Type: Full-time

Pay: $20.61 - $21.65 per hour
