Job Overview:

The Design Review & Inspection Coordinator will review and process architectural applications for new construction, landscaping, and exterior home improvements, providing recommendations to the Design Review Committee (DRC). Schedule and conduct site inspections to ensure project compliance with governing documents and approved plans. Serve as a point of contact for the DRC, supporting compliance efforts, attending meetings, and handling administrative tasks. Deliver exceptional customer service by guiding homeowners and contractors through the design review process, educating them on guidelines and procedures, and maintaining accurate records of all communications, submittals, and inspections.

Compensation: $29.50 - 32/hr

FirstService Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, and specific job responsibilities. For positions designated at a client's property, the salary or wage will also be premised upon the client's directive. The base pay range is subject to change and may be modified in the future.

Your Responsibilities:

  • Responsible for scheduling and performing pre-access, pre-site, mid-point, and final inspections to verify conformity to approved plans. Inspections include but are not limited to custom new home builds, landscape and pool inspections, model conversions, fence post inspections, sidewalk and street inspections, and production home turnovers.
  • Reviews and makes recommendations to the Design Review Committee for each architectural application submitted grounded on the Design Guidelines and community standards.
  • Interacts and follows up with Design Review Committee members, third-party consultants, homeowners, and authorized contractors regarding architectural and/or enforcement issues of the Association.
  • Interact with homeowners regarding Design Guidelines, exterior home and landscape modification inquiries, application results, and design review processes.
  • Prepares for and attends weekly Design Review Committee (DRC) meetings as designated by association requirements.
  • Ensures adherence to Association policies and procedures as documented in the Association’s governing documents, and compliance with corporate, civil code, and state and federal obligations.
  • Maintains accurate and complete records in the Association shared drive and in Connect to document, track, and update design review requests and correspondence.
  • Utilizes technology as applicable to perform job functions and publish communications to the membership.

  • Completes and maintains current reference notebooks containing all necessary information, Governing Documents, and Civil Code to support the Community Standards properly and effectively for the association.
  • Assess and monitor community needs: identify opportunities for improving service delivery methods and procedures which would increase operational effectiveness and efficiency.
  • Be able to easily recall and communicate design review requests and the homeowner’s application details with the Design Review Committee (DRC) members and other Associates.
  • Complete DRC meeting agendas and minutes.
  • Maintain consistent and regular attendance.
  • Follow and exemplify FirstService Residential’s Global Service Standards and Core Values.
  • Report any safety or hazardous items immediately to supervisor.
  • Attend team meetings, committee meetings, Board meetings, or industry functions as required.
  • Other duties as deemed necessary and assigned by the Board of Directors or Management.

Skills & Qualifications:
  • Read and interpret architectural and construction drawings and diagrams.
  • Plant identification desired; required to learn within first 6 months
  • Must be detail oriented with an emphasis on quality and accuracy.
  • Have experience in new home construction, project management, landscape design, or closely related field.
  • Possesses exceptional customer service experience.
  • Excellent written and oral communication skills, customer service skills, organizational and time management skills.
  • Must be able to manage multiple tasks with attention to detail in a fast-paced environment.
  • Must be proficient with Microsoft Office, including Word, Excel, Teams, and Outlook at an intermediate level.
  • Must have the ability to effectively communicate with the Board, vendors, and clients, verbally and through written correspondence.
  • Must be resourceful and a creative problem solver
  • Ability to work collaboratively and independently, prioritize daily workload, multi-task, and monitor progress for the successful completion of projects.
  • Be adaptable, able to take direction, offer valuable input, and work as a team.
  • Sees tasks and assignments through to resolution.
  • Strong ethical practices.
  • Ability to communicate effectively with all levels of Management, Associates, Members, and others.
  • Must have reliable transportation, a current California driver’s license, and state mandated vehicle insurance.
  • Proficient in English
  • Strong general math skills

Education & Experience:
  • High school diploma required. College degree is preferrable.
  • Experience in property management, design/build, plan review or a closely related field preferred
  • 2 years customer service experience preferred

Physical Requirements and Working Environment:

  • Must be able to walk and hike uneven and unpaved surfaces.
  • Working environment is both inside and outside and at times exposed to the weather/elements.
  • Must be able to sit and stand for extended periods of time.
  • Must have finger dexterity for typing/using a keyboard.
  • Must be mobile enough to move around during outside events, stand for long periods of time and lift up to 50 pounds.
  • Talking and listening occur continuously in the process of communicating with Owners, contractors, associates, supervisors, vendors, and our clients.

  • Company Inspection Vehicle.
