Purpose of the Team: The purpose of this team is to drive employee engagement across the organization by designing, organizing, and executing programs, events, and initiatives that strengthen culture, collaboration, and organizational connection.

Key Projects: This role will contribute to the planning and coordination of employee engagement events, vendor management, budget tracking, program logistics, leadership reporting, and preparation of materials for engagement programs and executive reviews.

Job Description:
This position requires performing a variety of complex administrative functions for all levels of management, including external business partners. Responsibilities include managing schedules, coordinating travel arrangements, and processing business expenses. You will coordinate meetings and events, department financial operations, personnel operations, and facility operations. The role involves managing the procurement of goods and services, including computer equipment, office supplies, reference materials, and vendor relationships, as well as providing general office support. You will serve as the department/group contact and complete special projects as assigned.

This role provides essential operational and logistical support to ensure the seamless execution of employee engagement programs and events, allowing the team to focus on high-impact initiatives.
Key Responsibilities:

Manage day-to-day administrative operations for the Employee Engagement team, ensuring smooth execution of programs and events.

Coordinate scheduling, meetings, and communications across the team and with stakeholders.

Book and manage vendors, including negotiating logistics and tracking associated expenses.

Track budgets, invoices, and expenses for employee engagement activities, ensuring accurate reporting and reconciliation.

Maintain task lists, monitor project progress, and provide updates to the Business Manager and leadership.

Pull and consolidate reports, status updates, and metrics to support team decision-making and leadership reviews.

Support preparation of materials for presentations, meetings, and events, ensuring accuracy and timeliness.

Serve as the point of contact for internal and external partners for engagement programs, ensuring seamless coordination and follow-up.
Qualifications:

Bachelor's degree in Business, Operations, Administration, or a related field, or equivalent experience.

2 years of administrative support experience in a corporate environment.

Strong organizational and time management skills, with the ability to manage multiple priorities in a fast-paced environment.

Proficient in Office Suite (Excel, PowerPoint, Teams, Outlook, OneNote) and collaboration tools like SharePoint.

Excellent verbal and written communication skills, with attention to detail.

Ability to work both independently and collaboratively across teams.

Comfortable supporting events and programs with a hands-on, flexible approach.

Available full-time onsite at the Redmond location.
Preferred Qualifications:

In this role, you will support the Employee Engagement team by coordinating schedules, managing vendor logistics, and tracking budgets and event expenses. Additionally, you'll help prepare materials and ensure all events and programs run smoothly from start to finish on event go-live days.

Contractor performance will be measured by their ability to efficiently and accurately execute administrative and operational tasks that support the Employee Engagement team. Key metrics include timely coordination of schedules and communications, successful management of vendors and event logistics, accurate budget tracking, clear and proactive reporting of task progress and status updates, and the overall quality and reliability of support provided to the Business Manager and team. Strong collaboration, communication, and the ability to anticipate needs will also be critical indicators of success in this role.
