Moldech is a fast-growing agency specializing in international business operations and e-commerce supply chain management. We operate in a highly structured, fast-paced global market and are looking for a meticulous, sharp, and highly organized Operations & Executive Assistant to serve as the operational backbone of our team.
Position Overview
We are looking for an administrative and operational powerhouse. This is not a sales or customer service role. Instead, you will be directly assisting leadership with high-level vendor management, compliance documentation, and financial administration.
Note on Language: Because you will be dealing directly with US/European vendors and financial institutions, absolute fluency in spoken and written English is a non-negotiable requirement.
Primary Responsibilities
- Vendor & Supply Chain Coordination: Act as the primary point of contact for international vendors; manage daily communications and coordinate with packaging and label suppliers.
- Inventory & Data Management: Actively track inventory levels, update daily operational spreadsheets, and maintain accurate reporting.
- Compliance & Documentation: Organize critical product testing files, certificates of analysis (COAs), and continuously update company SOPs (Standard Operating Procedures).
- Financial Administration: Manage incoming invoices, track bills, and assist leadership with high-level payment processor and banking paperwork.
- Executive Support: Schedule meetings, manage calendar invites, and conduct targeted research projects as assigned by management.
- Growth Assistance: Support marketing efforts by handling initial outreach and tracking for brand affiliates and influencers.
Required Qualifications & Skills
- Education/Experience: Bachelor’s degree with 1–3 years of experience in an Executive Assistant, Operations Coordinator, or project management role (ideally within e-commerce or international business).
- Communication: Exceptional English communication skills (both written and verbal). You must be able to draft professional, error-free emails independently.
- Technical Proficiency: Advanced skills in Google Workspace (Docs, Sheets, Drive) and experience with project management tools (e.g., ClickUp, Asana, or Trello).
- Organization: A hyper-organized approach to work. You are someone who notices the details, catches typos, and loves keeping files organized.
- Problem-Solving: Ability to work independently under minimal supervision and handle sensitive financial/business paperwork with total discretion.
