Core Responsibilities:Executive & Administrative Support

  • Manage and prioritize the founder’s calendar, appointments, and daily schedule
  • Organize meetings, calls, and events (internal and client-facing)
  • Draft, review, and respond to emails and DMs professionally and promptly
  • Take meeting notes, track action items, and follow up to ensure completion
  • Manage travel planning, itineraries, accommodations, and reservations
  • Handle personal tasks and errands as needed (online orders, gifts, appointments.
  • Maintain confidentiality and handle sensitive information with discretion

Business Operations & Organization

  • Create and maintain SOPs (standard operating procedures) for recurring tasks
  • Manage project timelines, deliverables, and task delegation using tools like Asana, ClickUp, or Notion
  • Monitor and organize digital files, assets, contracts, and brand resources (Dropbox, Google Drive, etc.)
  • Organize internal workflows to streamline team collaboration and improve efficiency
  • Track and manage client onboarding/offboarding processes
  • Assist with hiring/freelancer outreach and coordination when needed

Marketing, Content & SEO Support

  • Collaborate on and manage updates to the agency’s website (Webflow, Squarespace, or WordPress)
  • Implement and refine SEO strategy (keyword research, metadata, content structure, blog optimization)
  • Oversee and optimize the agency’s Pinterest Business account to drive traffic and visibility
  • Assist in creating and curating visual moodboards for branding and client projects
  • Schedule and upload blog posts, case studies, and project highlights
  • Assist in repurposing social content for newsletters, blogs, and other platforms

Finance & Invoicing

  • Track incoming and outgoing payments
  • Generate and send client invoices (via platforms like QuickBooks, Wave, or HoneyBook)
  • Monitor outstanding invoices and follow up on overdue payments professionally
  • Reconcile monthly expenses and assist with budget planning

AI, Tech & Tools Optimization

  • Research and test AI tools (e.g., ChatGPT, Jasper, Descript, Notion AI) to enhance business workflows
  • Build systems or templates using AI for things like content creation, task management, and client outreach
  • Stay up-to-date on the latest tech platforms that could improve efficiency, creativity, or client experience
  • Implement and maintain automations (e.g., Zapier, Make) to reduce manual tasks

Client Relationship & Communication

  • Serve as the point of contact for select clients, helping with updates, scheduling, and file delivery
  • Track client milestones, deliverables, and satisfaction
  • Prepare proposals, contracts, and onboarding documents
  • Support in building client-facing presentations and decks

Creative & Visual Support

  • Assist in sourcing images, fonts, and inspiration for internal and client projects
  • Build and organize moodboards (Figma, Canva, Pinterest) for branding and creative direction
  • Support light graphic design needs using Canva or similar tools
  • Help maintain and organize the brand’s visual identity across platforms

Growth & Strategy Support

  • Monitor and report on analytics (Pinterest, website traffic, email campaigns, etc.)
  • Help organize and execute marketing campaigns and brand partnerships
  • Conduct competitor research and trend analysis in social media and content marketing
  • Assist with course creation, webinar coordination, or digital product launches
  • Manage affiliate programs or collaborations

Preferred Skills & Tools Experience:

  • Google Workspace (Docs, Sheets, Calendar)
  • Project Management Tools (Notion, Asana, ClickUp)
  • Website CMS (Squarespace, WordPress, Webflow)
  • Invoicing Software (QuickBooks, HoneyBook, Wave)
  • Pinterest Business Manager
  • Canva / Figma
  • SEO tools (Yoast, Semrush, Ubersuggest)
  • AI Platforms (ChatGPT, Notion AI, Jasper, etc.)
  • Slack, Zoom, Loom

One Time Projects:

  • Organize and move all photo files to dropbox
  • Arranged according to project
  • Update all tasks on Asana to have current list of objectives

Job Type: Full-time

Base Pay: $45,000.00 - $65,000.00 per year

Work Location: Hybrid remote in Miami, FL 33137
