Job Description


As an Executive Assistant to the HO Latin America and Caribbean Region, you will serve as a high-level strategic partner and "helicopter view" collaborator. This role is designed for a curious, creative professional capable of balancing operational topics with top-management strategy. You will manage complex logistics and sensitive communications while anticipating executive needs, ensuring the President remains focused on mission-critical decision-making.

This role offers a unique insight into top-management decision-making and company strategy, expanding your professional network for future leadership or expert paths within Airbus.

  • Executive Support & Strategic Partnership (30%): Support the manager in daily business including, confidential, and strategic topics. Study, filter, and prioritize working files, providing recommendations and following up on local implementation of decisions.

  • Logistics, Travel & Financial Administration (30%): Manage end-to-end travel logistics and credit card reconciliation. Ensure strict adherence to corporate compliance and Gifts & Hospitality protocols. Oversee office procurement and facility-related work orders.

  • Event & Project Oversight (20%): Lead the planning and execution of industry, customer, and staff events. Identify customer value, business needs, and improvement opportunities while supporting the N-1 management team on specific action plans.

  • Stakeholder Coordination & Influence (20%): Liaising with relevant stakeholders on various topics/events and/or ensuring deliverables reports/deadlines.


Qualifications

  • Must be currently local to the Miami Metro area
  • Ability to work in the US without current, or future, need of visa sponsorship/work authorization
  • Education: High School diploma required.
  • Minimum 4 years of international travel arrangements, event management, and document drafting.
  • Minimum 4 years of data visualization & presentations (C-suite level charts/slide decks).
  • Minimum 4 years of proven office management or executive assistant experience within a complex matrix organization.
  • Excellent verbal and written communication in English and Spanish (Required).
  • Analytical & Digital: Proficient in Google Suite and MS Office.
  • Efficiency: Extremely organized, resourceful, and able to prioritize work in a fast-paced environment.
  • Interpersonal: High degree of diplomacy and tact; ability to interact with varied personalities in a multicultural environment.
  • Autonomy: Strong decision-making skills and problem-solving agility in uncertain environments.

Preferred:

  • Portuguese or French language fluency.

Physical Requirements:

  • Presence: 100% Onsite (Miami).
  • Travel: Ability to travel independently and at short notice (approx. 25%).
  • Capability: Vision/Hearing/Speaking for full-day (8-hour) communication and computer use.
  • Lifting/Carrying documents or equipment up to 30lbs/14kgs.
  • Mobility to navigate office and production areas, including sitting, standing, and squatting.
  • PPE: Steel-toed shoes and eye/hearing protection required for shop floor visits.

Ability to work in the US without current, or future, need of visa sponsorship/work authorization is required for this position.

This position is a temporary (contract) position with no specific time period but could be extended or shortened as needed.
