About the Role

ABC of NC is seeking a highly organized, proactive, and relationship-oriented Executive Assistant to support our Executive Director and leadership team. This is an exciting opportunity for someone who thrives in a dynamic environment, enjoys managing multiple priorities, and is passionate about supporting meaningful work in the community.

The Executive Assistant plays a central role in coordinating executive operations, managing sensitive information, supporting organizational communication, and contributing to the success of special projects across departments. This position is ideal for someone who enjoys being the “go-to” person and who takes pride in ensuring excellence behind the scenes.

What You’ll Do

Executive & Administrative Support

  • Manage an active executive calendar and coordinate meetings.
  • Prepare correspondence, reports, agendas, and meeting materials — often of a confidential nature.
  • Serve as a liaison between the Executive Director and internal/external key partners including but not limited to board members, donors, and staff.
  • Research, prioritize, and follow up on issues addressed to the Executive Director.
  • Support board meetings, including preparing materials and maintaining compliance with bylaws.
  • Attend and document meetings, including minutes tracking and follow-up.
  • Assist in drafting communications and coordinating executive outreach efforts.
  • Organize virtual tours, community sessions, and webinars; update registration and communication materials.
  • Lead or support special projects, often with tight deadlines and minimal direction.

Cross-Department Support

  • Support Development, Finance, HR, and Clinical Practice Management departments on projects, events, grants, surveys, recruiting support, scheduling, and data collection.
  • Maintain calendars and staff training logs; assist with onboarding technology setup and coordination with IT.
  • Assist with equipment tracking, event planning, visitor tours, and managing mail room operations.
  • Serve as an organizational ambassador at community events and special functions.

General Administrative & Operational Tasks

  • Manage materials, technology, and resource checkout systems.
  • Support meeting setups, interview logistics, and training documentation.
  • Provide exceptional internal customer service across the organization.
