Executive Assistant

What you will do at the Department of Economic Equity and Opportunity:
The Department of Economic Equity & Opportunity (DEEO) seeks an Executive Assistant for the Executive Director. This position is part of the Executive Office.

Duties & Responsibilities:
  • Perform general secretarial duties, coordinate travel arrangements and handle correspondence.
  • Provide excellent customer service to all users regarding all business functions.
  • Assist the Executive Director by coordinating communications.
  • Assist the Executive Director with preparations for meetings.
  • Organize and manage Executive Director’s calendar/schedule.
  • Prepare travel requests, travel reimbursements, and PCard reports.
  • Perform other duties as assigned.

Requirements

Education/Experience:
  • Bachelor’s degree in Business, Communications, Journalism, Marketing, Public Relations, or a related field of study.
  • 2+ years of experience in communications, working with nonprofits, educational institutions, government, or issue-based campaigns.
OR
  • Associate’s Degree in Business, Communications, Journalism, Marketing, Public Relations, or a related field of study.
  • 4+ years of experience in communications, working with nonprofits, educational institutions, government, or issue-based campaigns.
PLUS
  • Proficient in Microsoft Office, Adobe Creative Suite, content management systems and contact database systems.
Licensure:
  • Must have a valid Driver’s License (TX upon hire)
Knowledge, Skills, and Abilities:
  • Ability to maintain and organize a high impact schedule.
  • Knowledge of public administration practices and local government issues.
  • Knowledge of project management principles, practices, techniques, and methodologies.
  • Knowledge of presentation requirements and methods.
  • Knowledge of research techniques, methods, and procedures.
  • Skill in utilizing personal computers and associated software applications in the completion of assignments.
  • Ability to prepare clear and concise reports.
  • Ability to coordinate and review the work of professional, technical, and clerical personnel.
  • Ability to understand assigned departments' operations, services, and activities.
  • Ability to interpret, explain and apply county and department policies and procedures.
  • Ability to communicate effectively.
  • Ability to establish and maintain effective working relationships with those contacted in the course of work including county officials and the public.
  • Ability to meet all the physical requirements of the position, with or without accommodations.
  • Working conditions are in an office environment.

Preferences

  • Knowledge of local, state, and federal government operations.
  • Bilingual (English/Spanish) skills are helpful in this role but not required.

General Information

Position Type and Typical Hours of Work:
  • Full-Time | Regular
  • Days and hours of work are typically Monday through Friday, 8:00 a.m. to 5:00 p.m.
  • Hours may vary based on the business needs of the department.
  • This position offers flexibility for hybrid work in accordance with the County's telework policy.
  • However, due to the significant nature of the role, there is no set schedule of remote workdays. Instead, remote work will be determined on a week-by-week basis depending on the ED’s schedules and the department’s needs.
Work Environment and Physical Demands:
  • This job operates in a professional office environment.
  • This role routinely utilizes standard office equipment, including computers, phones, and photocopiers.
  • Lift up to 20 lbs.
  • Typical office work only with limited physical demands
Reporting Relationships:
  • Reports to Position: Executive Director

Employment may be contingent on passing a drug screen and meeting other standards.
