Executive Assistant

Key Responsibilities:

o Proactively manage and maintain complex calendar, including scheduling appointments, meetings, and travel arrangements.

o Screen and prioritize incoming communications (emails, phone calls, mail), drafting responses, and ensuring timely follow-up.

o Prepare and organize materials for meetings, presentations, sermons, and other engagements.

o Act as a primary point of contact for internal and external stakeholders.

● Church Operations & Administration:

o Database Oversight: Maintain the integrity and accuracy of the church's membership database, ensuring consistent data entry and efficient retrieval of information.

o Stewardship Campaign Support: Provide comprehensive administrative support for annual stewardship campaigns, including donor communications, data management, and event coordination.

o Dashboard Management: Create, update, and maintain various operational dashboards and reports to provide the Senior Pastor with real-time insights into key church metrics and activities.

● Protocol & Policy Adherence:

o Assist other staff in Identifying potential deviations from policies and procedures through teamwork to guide others toward compliance.

● General Administrative Duties:

o Maintain organized physical and digital filing systems.

o Order and manage office supplies for the Executive's office.

o Assist with special projects and initiatives as assigned.

Requirements:

● Christian Faith

o A mature relationship with Jesus Christ

o Active involvement in a local church

● Software Proficiency:

o Expert proficiency in Microsoft Outlook (calendar management, email organization, task management).

o Advanced proficiency in Microsoft Excel (data entry, spreadsheet creation, basic formulas, reporting).

o Ability to quickly learn and master new software platforms, specifically Planning Center Online.

● Communication:

o Excellent oral communication skills, with a professional and compassionate demeanor for interacting with staff, congregants, and external parties.

o Superior written communication skills, including impeccable grammar, spelling, and punctuation, for drafting correspondence, reports, and other documents.

● Organizational & Proactive Abilities:

o Exceptional organizational skills with a strong ability to prioritize tasks, manage deadlines, and maintain meticulous records.

o Highly proactive and self-motivated, anticipating needs and taking initiative to streamline processes and resolve issues before they arise.

o Demonstrated ability to recognize needs and implement solutions independently.

o Strong attention to detail, ensuring accuracy in all tasks and communications.

● Interpersonal Skills:

o Must be a team player with the ability to work effectively and collaboratively with others.

o High degree of discretion and confidentiality when handling sensitive information.

o Professional demeanor with a customer-service oriented approach.

● Experience:

o Minimum of 3 years of experience in an executive administrative assistant or similar high-level support role, preferably within a non-profit, church, or educational setting.

● Education:

o Bachelor's degree preferred, or equivalent combination of education and experience.

Job Type: Full-time

Pay: Up to $65,000.00 per year
