POSITION SUMMARY
Responsible for providing administrative support for the Chief Clinical Officer and all clinical programs. Primary responsibilities include supporting substance use programs and other clinical administrative duties .
ESSENTIAL DUTIES AND RESPONSIBILITIES
The essential functions include, but are not limited to the following:
Chief Clinical Officer Support:- Provides administrative support to all departments that report to the Chief Clinical Officer
- Acts as a resource and/or facilitator for internal and external needs directed to Chief Clinical Officer.
- Drafts and follows up on correspondence, coordinating calendar and travel arrangements.
- Opening and closing episodes in the electronic record for clinical teams.
- Assists Adult and Adolescent Substance Use programs with data entry and tracking of information.
- Attends and takes minutes for departmental meetings as assigned.
- Copies and collates documents and meeting packets.
- Obtain certification as a Notary
- Ordering supplies for clinical teams as needed.
- Primary contact for interpreting requests and scheduling
- Back up for answering agency phone calls
- Assists with agency events.
- Maintains CCO credit cards and accounts to ensure appropriate agency purchases.
- Assists with data entry and report generation in EMR (electronic medical record) charts for information updates as needed to ensure quality care for consumers.
- Assists and tracks due dates for special/new projects.
- Demonstrates professional conduct and courtesy to peers, consumers and community as a representative of Beacon.
- Other duties and/or responsibilities may be assigned by supervisor.
MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)
Education: High School diploma or equivalent required
Associates or Technical degree preferred
Experience Required: 1 – 3 years of demonstrated prior employment experience required, working directly for a Director-level or above employee at a small to mid-sized organization.
Required Knowledge: Intermediate to Advanced knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook and Publisher). Prior use of electronic medical records a plus.
Skills/Abilities: Excellent phone and interpersonal skills.
Strong organizational skills
The ability to multi-task and manage the day-to day activities of multiple individuals.
