Title of Role: Executive Assistant

East West Tea is seeking a talented, passionate, and experienced Executive Assistant to join our Yogi team!
The Executive Assistant will lead with a cheerful and supportive presence while greeting guests, employees, and outside partners. This role be the first impression of Yogi for visitors and will be an important part of creating and maintaining our culture and improving employee engagement. Additionally, providing high level administrative support to Senior Leaders.

WHAT YOU’LL OWN:
Reception, Hosting, and Office Support 30% of time
-
Prepare visitors and guests to ensure they understand our visitor policies, e.g. GMP’s, safety, confidentiality, and what to expect upon arrival
-
Assist in hotel arrangements for visitors and guests, provide suggestions and materials to help with the visit
-
Serve as a resource to employees and assist with office questions as needed
-
Manage general office supplies budget, inventory, and ordering
-
Manage security badge systems
Company Event and “Doing Good” Coordination 30% of time
-
Coordinate company’s participation in local events, e.g. Eugene Marathon, Day of Caring, Good Earth Show and any volunteer activities or donations and arrange systems for tracking reports, supplies and general expenses associated with each event or project

Create, plan, and share opportunities to volunteer and give back to the community
Senior Leader and People & Culture Team Support 40% of time

Ensure equipment, supplies, meals, and rooms are set up for interviews, vendor meetings, trainings, board meetings, and executive meetings as needed

Support the Nourish program, POS issues, generating gift cards, collecting comment cards, and weekly physical checks
-
Provide clerical support to the P&C team by maintaining accurate and up to date human resource files, records, and documentation; performing periodic audits
-
Assist with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations
-
Perform clerical and administrative tasks for Senior Leaders including drafting letters, memos, invoices, reports, and other documents
-
Schedule and attend meetings when needed on behalf of executives, taking notes and recording minutes
WHAT YOU KNOW AND HAVE EXPERIENCED:
-
4+ years of experience in reception and administrative duties, office management, concierge/hospitality, or related field
-
High level of proficiency with Microsoft Office Suite

Strong written and verbal communication skills
-
Understanding of office management
-
Knowledge of budgeting and tracking expenses
-
Strong organizational skills
-
Proficiency in collaboration and delegation of duties
