We are seeking a highly organized and proactive Executive Assistant to provide direct support to the firm’s founders. This role is responsible for managing executive requests, coordinating across departments, tracking action items, and ensuring follow-through on priorities discussed at the leadership level.
The Executive Assistant serves as a central coordination hub between founders and internal teams and plays a key role in keeping executive initiatives organized, on track, and moving forward. This position requires strong communication skills, sound judgment, attention to detail, and the ability to manage multiple priorities in a fast-paced professional environment.
Key Responsibilities
Executive Support & Task Management
- Provide direct administrative and operational support to the founders
- Serve as primary point of contact for requests forwarded by founders
- Maintain a centralized task tracker for executive requests and action items
- Track, organize, and follow up on founder-directed tasks to ensure completion
- Proactively manage competing priorities
Executive Leadership Meetings
- Participate in all Executive Leadership Meetings
- Capture notes on discussions, decisions, and strategic initiatives
- Record action items, deadlines, and assigned owners
- Distribute meeting summaries and action items to relevant departments
- Maintain and update the Executive Action Plan
- Monitor progress and provide ongoing status updates to founders
- Flag delayed or stalled items and escalate as needed
Communication & Internal Coordination
- Act as liaison between founders and Intake, Marketing, Legal, and Operations
- Understand internal workflows and coordinate with appropriate teams
- Respond on behalf of founders when appropriate
- Maintain confidentiality and professionalism in all communications
Scheduling & Administrative Support
- Assist with scheduling meetings and executive commitments
- Coordinate calendars and logistics
- Prepare correspondence and follow-up emails
- Maintain records of referrals, events, and executive projects
- Support special projects as assigned
Accountability & Execution
- Take ownership of executive requests from start to finish
- Ensure tasks are completed, not just delegated
- Follow up with departments and provide progress updates
- Anticipate needs and resolve issues proactively
- Maintain high responsiveness, organization, and attention to detail
Qualifications
- Prior executive assistant, administrative leadership, or similar experience preferred
- Strong organizational and multitasking skills
- Excellent written and verbal communication abilities
- Comfortable managing multiple priorities in a fast-paced environment
- High level of professionalism and discretion
- Proficient with Google Workspace and general office technology
- Ability to work independently and exercise sound judgment
Pay: $18.00 - $25.00 per hour
