Job Overview

Robert Quinn Ltd, one of Ireland's leading construction companies, is seeking a highly organised and professional Executive Assistant to support our senior leadership team. With nearly 50 years of experience, Robert Quinn Ltd is renowned for its quality workmanship and timely project delivery across the commercial, retail, healthcare, educational, and pharmaceutical sectors. We specialise in high-value fit-outs, Building Information Modelling (BIM), and innovative design-build solutions.

The successful candidate will play a crucial role in ensuring the smooth and efficient operation of our executive office. You will be a proactive problem-solver with exceptional communication skills and a meticulous attention to detail, capable of managing a demanding workload in a fast-paced environment.

Responsibilities

• Provide high-level administrative support to senior executives, including managing complex diaries, scheduling meetings, and handling correspondence.
• Coordinate and book all aspects of business travel, including flights, accommodation, and transport arrangements.
• Prepare and edit reports, presentations, and other important documentation with a high degree of accuracy.
• Act as the primary point of contact for internal and external stakeholders, handling enquiries professionally and discreetly.
• Organise company events, meetings, and conferences as required.
• Manage confidential information with the utmost discretion and integrity.
• Implement and maintain effective administrative systems and procedures to enhance efficiency.
• Collate and process expense reports and manage office supplies.

Qualifications

• Proven experience as an Executive Assistant, Personal Assistant, or in a similar senior administrative role.
• Exceptional organisational and time-management skills with the ability to prioritise tasks effectively.
• Proficiency in the full Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Outstanding verbal and written communication skills.
• The ability to work independently and use your own initiative.
• A high level of professionalism, discretion, and confidentiality.
• Experience within the construction or a related industry is advantageous but not essential.
