Executive Assistant - CXO Office

India

Key Responsibilities

Executive Support

  • Manage complex calendars, schedule meetings, and coordinate travel arrangements for CXO and senior executives
  • Prepare briefing materials, presentations, and reports for board meetings and executive sessions
  • Handle confidential correspondence and communications with internal and external stakeholders
  • Act as primary point of contact between executives and internal/external parties

Administrative Excellence

  • Organize and maintain executive files, records, and documentation systems
  • Coordinate executive team meetings, including agenda preparation and minute-taking
  • Manage expense reports, budget tracking, and vendor relationships
  • Oversee office operations and liaise with facilities management

Strategic Support

  • Assist in preparation of strategic documents, investor presentations, and quarterly reports
  • Support due diligence processes and corporate development initiatives
  • Coordinate with legal, finance, and HR teams on executive-related matters
  • Manage special projects and initiatives as assigned by leadership

Stakeholder Management

  • Interface with board members, investors, clients, and key partners
  • Coordinate customer visits and corporate events
  • Support recruitment processes for senior positions
  • Maintain relationships with external service providers and consultants

Required Qualifications

Education & Experience

  • Bachelor's degree in Business Administration, Management, or related field
  • 3-5 years of experience as Executive Assistant or in senior administrative roles
  • Previous experience in technology/startup environment preferred
  • Experience supporting C-level executives in fast-growing companies

Technical Skills

  • Advanced proficiency in MS Office Suite (Excel, PowerPoint, Word, Outlook)
  • Experience with project management tools (Asana, Trello, or similar)
  • Familiarity with CRM systems and digital collaboration platforms
  • Basic understanding of financial reporting and budget management

Core Competencies

  • Exceptional written and verbal communication skills in English
  • Strong organizational skills with attention to detail
  • Ability to handle confidential information with discretion
  • Proactive problem-solving approach and critical thinking abilities
  • Flexibility to work outside regular business hours when required

Preferred Qualifications

  • MBA or relevant professional certification
  • Experience in retail technology or SaaS companies
  • Knowledge of corporate governance and compliance procedures
  • Experience with investor relations and board management
  • Proficiency in additional South Indian languages

Job Types: Full-time, Permanent

Pay: ₹15,000.00 - ₹50,000.00 per month
