What we’re looking for:

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide strategic and operational support to senior leadership. The role requires strong ownership, excellent communication, financial exposure, confidentiality handling, and execution discipline.

The ideal candidate will have prior experience supporting senior leadership, strong organizational skills, and exposure to finance-related coordination and reporting.

What you will own and do:

Act as a strategic right-hand support to the MD, ensuring seamless day-to-day functioning, prioritization, and execution excellence.

Manage end-to-end executive calendar, travel, meetings, and scheduling, optimizing leadership time and focus.

Serve as the central coordination hub between leadership and all internal departments, including Finance, Investments, Sales, Marketing, Projects, Legal, HR, Procurement, and Operations, ensuring:

Timely flow of information

Cross-functional alignment

Closure of action items.

Manage direct stakeholder coordination with:

Board members

Investors

Bankers

JV partners

Consultants

Auditors

Legal advisors.

Own end-to-end executive calendar, meeting, and travel management, optimizing leadership bandwidth.

Plan and manage leadership meetings, board reviews, investor calls, and strategic discussions, including:

Agenda preparation

Pre-read coordination

Presentation collation

MoM documentation

Action tracking & closure.

Draft, review, and manage high-level professional communication including emails, letters, reports, presentations, and confidential correspondence.

Track strategic priorities, key deliverables, deadlines, and commitments, ensuring zero slippage on leadership-critical tasks.

Support finance-related coordination, including:

Invoice tracking

Expense reporting

Budget monitoring

Payment follow-ups with finance teams.

Maintain absolute confidentiality of sensitive leadership, financial, and business information.

Provide personal assistant support to leadership, including:

Personal calendar coordination

Travel logistics

Priority task handling

Urgent issue management.

Proactively identify process gaps and efficiency opportunities, implementing workflow improvements and automation wherever possible.

Act as a trusted confidant and execution anchor for leadership.

Qualifications:

Education:

Bachelor’s degree in Business Administration, Finance, Commerce, Management, or related field.

Experience:

4–8 years of experience as Executive Assistant / Senior Secretary / Leadership Support Role.

Prior experience supporting CXOs / Directors / Senior Management.

Exposure to finance coordination, reporting, MIS, or accounting workflows preferred.
