Executive Assistant to the CEO

Job Summary
We are seeking a highly organized and proactive Executive Assistant to support our CEO in a dynamic and fast-paced environment. This vital role involves managing complex calendars, coordinating projects, handling correspondence, and providing exceptional administrative support to ensure the executive’s day-to-day operations run smoothly. The ideal candidate will demonstrate exceptional communication skills, attention to detail, and the ability to prioritize multiple tasks efficiently. Responsibilities

  • Manage the CEO’s calendar with precision, scheduling meetings, appointments, and travel arrangements using Microsoft Outlook Calendar and Google Workspace.
  • Act as the first point of contact for incoming calls, demonstrating professional phone etiquette and multi-line phone system management.
  • Prepare, proofread, and transcribe documents, reports, and correspondence with accuracy and attention to detail.
  • Coordinate special projects and events, including planning logistics, booking venues, managing invitations, and overseeing event execution.
  • Handle office management duties such as filing, data entry, bookkeeping using QuickBooks, and maintaining organized records.
  • Support personal assistant responsibilities including personal scheduling and errands as needed.
  • Utilize office software such as Microsoft Office Suite and Google Workspace to produce high-quality presentations, spreadsheets, and documents.
  • Assist with clerical tasks such as filing, photocopying, proofreading materials, and managing front desk operations.
  • Maintain confidentiality of sensitive information while providing exceptional customer service to internal teams and external partners.
  • Support office operations by managing office supplies inventory, coordinating vendor relationships via DocuSign for contracts and agreements, and overseeing office experience logistics.

Qualifications

  • Proven experience as an executive assistant or in a similar administrative role supporting senior leadership.
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Excellent written and verbal communication skills with professional phone etiquette.
  • Proficiency in Microsoft Office (Word, Excel PowerPoint), Google Workspace (Gmail, Calendar), QuickBooks, and familiarity with multi-line phone systems.
  • Demonstrated experience in event planning, project coordination, bookkeeping, data entry, transcription, proofreading, and office management.
  • Ability to handle multiple responsibilities simultaneously with a high level of accuracy and discretion.
  • Experience with office experience tools such as filing systems, front desk operations, and clerical support functions.
  • Knowledge of office software including Microsoft Outlook Calendar and DocuSign for contract management is preferred.
