Executive Assistant to the CEO

Job Description:

As the Executive Assistant to the CEO, you will play a pivotal role in ensuring the smooth operation of the CEO’s office. You will be responsible for managing a diverse range of administrative and executive tasks, facilitating effective communication, and supporting strategic initiatives. Your ability to multitask, maintain discretion, and exhibit a high level of professionalism will be key to your success in this role.

Key Responsibilities:

  • Executive Support: Provide comprehensive administrative support to the CEO, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Communication Management: Act as a liaison between the CEO and his team, handling correspondence, and ensuring timely responses.
  • Meeting Coordination: Organise and coordinate meetings, prepare agendas, take minutes, and follow up on action items.
  • Project Management: Assist with special projects, research, and preparation of reports and presentations as needed.
  • Office Management: Oversee office operations, manage supplies, and ensure that the work environment is well-maintained and efficient.
  • Confidentiality: Handle sensitive information with discretion and maintain the highest level of confidentiality.

Qualifications:

  • Experience: Minimum of 5 years of experience as an Executive Assistant or in a similar high-level administrative role, preferably within the events or advertising industry.
  • Education: Diploma or Bachelor’s degree in Business Administration, Management, or a related field.
  • Skills: Exceptional organizational and time-management skills, with the ability to prioritise and manage multiple tasks efficiently.
  • Communication: Excellent verbal and written communication skills in English; proficiency in Arabic is a plus.
  • Tech Savvy: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiar with office management software and tools.
  • Professionalism: Strong interpersonal skills, with a high degree of professionalism, discretion, and integrity.
  • Adaptability: Ability to thrive in a fast-paced environment and adapt to changing priorities.
