We’re looking for a reliable, proactive, and emotionally intelligent Executive Associate to work closely with the Founder across all areas of life and work. This is not a typical assistant role. You will serve as a key enabler — streamlining professional operations, supporting personal logistics, and helping maintain financial discipline — so the Founder can focus on high-impact work and decisions.
You’ll help make the Founder’s day, week, and life run smoothly by acting as a filter, facilitator, and force-multiplier
-
Manage calendars, schedules, and time-blocking with thoughtfulness and precision
-
Prepare executive briefs, notes, decks, and follow-ups for meetings and decisions
-
Coordinate with internal and external stakeholders across workstreams
-
Track and support execution of strategic projects and tasks
-
Help manage inboxes, documents, and communication flows
-
Assist in maintaining visibility across business and personal accounts, payments, and commitments
-
Support monthly financial reviews, expense tracking, and budget alignment
-
Work closely with accountants, finance teams, or advisors to ensure timely documentation, compliance, and clarity
-
Create and update simple dashboards or summaries to support informed decision-making
-
Organize travel, bookings, family logistics, and personal appointments
-
Assist with errands, payments, purchases, renewals, and day-to-day tasks
-
Ensure seamless execution of personal routines and responsibilities
-
Handle occasional high-trust personal projects and decisions with full discretion
-
Interact with vendors, service providers, and professional contacts
-
Follow through on delegated tasks and ensure timely closure
-
Serve as an anchor of calm, clarity, and dependability for the Founder
-
Maintain confidentiality and judgment in handling both personal and professional matters
-
Are deeply organized, detail-oriented, and thrive in a supporting role
-
Are a clear communicator — written, spoken, and with an intuitive grasp of tone
-
Anticipate needs before they’re spoken and solve problems before they grow
-
Are comfortable switching between strategy and execution, and life and work
-
Have a natural inclination for financial clarity, order, and discipline
-
Handle ambiguity with calm, maturity, and independence
-
Enjoy creating order, flow, and trust in someone else’s world
-
3–7 years of relevant experience (e.g., executive assistant, personal assistant, business
associate, operations coordinator, or similar) -
Experience working directly with senior leaders, founders, or high-performing professionals
-
Comfort with tools like Google & Microsoft Workspace, spreadsheets, and basic finance workflows
-
Ability to coordinate across business and personal domains, including vendors and advisors
-
Prior exposure to financial documentation, reconciliation, or reporting is a strong plus
-
High emotional intelligence, discretion, and trustworthiness are non-negotiable
-
Competitive compensation based on experience and long-term value
-
Opportunity to be part of a meaningful, high-trust working relationship with the Founder
