- Manage and maintain executive calendars, appointments, meetings, and travel arrangements
- Act as the primary point of contact between executives, internal teams, and external stakeholders
- Prepare, review, and edit correspondence, reports, presentations, and confidential documents
- Organize and coordinate meetings, agendas, minutes, and follow-up actions
- Handle phone calls, emails, and inquiries with professionalism and discretion
- Maintain filing systems (physical and digital) ensuring accuracy and confidentiality
- Monitor deadlines, priorities, and task progress on behalf of the executive
- Assist in preparing budgets, expense reports, and reimbursement claims
- Coordinate domestic and international travel, visas, accommodation, and itineraries
- Support senior management in day-to-day administrative and operational tasks
- Screen visitors and manage executive office protocols
- Liaise with vendors, clients, and government authorities when required
- Maintain records of contracts, agreements, and official documents
- Ensure compliance with company policies and administrative procedures
- Handle sensitive information with high levels of confidentiality and integrity
- Assist in event planning, board meetings, and corporate functions
- Conduct basic research and compile data for decision-making support
- Track office supplies and coordinate administrative support services
- Follow up on action items and ensure timely completion of assigned tasks
