Front Desk Officer

Responsibilities

  • Manage all guests, ensure proper entry procedures and maintain a complete visitor log record.
  • Issue gate passes for all company assets and inventory moving in or out of the premises. Maintain accurate and up-to-date records of all gate passes issued.
  • Coordinate reservations of conference and meeting rooms upon request.
  • Monitor attendance records of all NMS staff and resolve attendance-related issues. Process overtime and staff claims and Ensure NMS staff maintain proper uniform standards and personal hygiene.
  • Conduct regular inspections of office premises, ensure all office equipment, furniture, and facilities are operational, maintain inspection records, and report and coordinate repair and maintenance activities with concerned departments or vendors.
  • Maintain and regularly update a directory of important telephone numbers, including Hospitals and emergency services, Police stations and Rescue services, Building management, Utility, etc.
  • Maintain records of all incoming and outgoing couriers, including heavy shipments. Monitor consumption levels and report requirements to avoid shortages.
  • Conduct daily morning inspections to ensure office cleanliness as per company standards.

Requirements

  • Bachelor degree in Arts, Business Administration or a similar field.
  • Proven 3-4 years experience as a Front Desk Officer or similar role
  • Excellent communication and interpersonal skills
  • Proficient in Microsoft Office Suite
  • Ability to multitask and work efficiently in a fast-paced environment
  • A professional appearance and demeanor
  • Female candidates will be preferred for this role.
